Overview: Responsible for all property management related duties, representing owners and tenants in a manner that best serves the individual developments.

Major Responsibilities

Operational

  • Monitor landscaping & street cleaning crews throughout the development to ensure the community always looks immaculate.
  • Monitor cleaning company to ensure that the community center is always clean and toiletries are available.
  • Drive-thru inspections of the development a minimum of once per month; maintain inspection reports in writing and/or photos and post on G Drive.
  • Review and enforce terms of insurance policies and service contracts.
  • Oversee the maintenance of property conditions and initiate capital improvements as needed. Arrange for alterations, maintenance, upkeep or reconditioning of property as approved and budgeted.
  • Coordinate building code changes and annual inspections of fire/life safety systems for community center and pool.
  • Develop a maintenance program, including preventive maintenance, and bid specifications.
  • Obtain competitive bids for services.
  • Prepare contracts for services, supervising and monitoring contractors for performance (landscaping, janitorial pool service, fitness equipment, etc.).
  • Conduct periodic walk-thru with key contractors.
  • Purchase supplies and equipment for use in the development as needed.
  • Prepare periodic inventory of building contents and forward listing to owner for review.
  • Coordinate with utility companies to arrange for service as required.
  • Create and maintain all signage in community center outlining proper use of the facility, pool and gym equipment.
  • Establish irrigation rotation schedule and monitor when necessary.

Community Relations

  • Issue or terminate community center and pool access key cards.
  • Coordinate special events.
  • Manage and enforce CC&Rs.
  • Manage Home Owners Associations. Manage, coordinate and facilitate routine or special HOA meetings.
  • Coordinate the community center reservation log; distribute refunds in a timely manner after inspection.
  • Address homeowner complaints in a professional and productive manner.
  • Serve as the main contact for community emergencies on weekends, evenings and holidays.
  • Coordinate creation and distribution of periodic newsletter and any other written or verbal communication to homeowners and tenants.

Financial

  • Coordinate the preparation of financial statements and reports on status of properties. Reports include annual budget, cash flow, income statement, general ledger, delinquency and balance sheet.
  • Bill and collect association dues and other fees
  • Provide support to owners and accounting staff in the event of property sale, appraisals, refinance or account changes
  • Coordinate bookkeeping functions, credit account for receipts and debit account for disbursements such as mortgage payments, property taxes, insurance premiums, management services, and maintenance costs.
Requirements:

Knowledge and Skills

  • 2-3 years of experience in property management.
  • Excellent oral and written communication skills.
  • Ability to solve problems and multi-task.
  • Proficient in Microsoft Word, Excel, Outlook and Property Management software programs.
  • Maintain professional homeowner and owner relationships, while maximizing expectations through clear communication and timely responsiveness.
  • Responsible for contributing towards a team goal approach within all areas of management while working toward the success of the company as a whole.
  • Exemplify the highest standards of integrity and ethical conduct in professional and personal matters.

Physical Demands

  • Perform tasks requiring manual dexterity (e.g., processing paperwork, filing, stapling, sorting, etc.)
  • May be required to perform occasional light physical labor.
