Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to support our senior leader and department heads. The ideal candidate will be a skilled planner with exceptional capabilities in managing schedules, handling confidential information, and facilitating the smooth operation of our leadership team's daily activities. This position may require availability outside of standard work hours and the ability to perform a variety of tasks as needed.

Responsibilities and Duties:

  • Provide comprehensive administrative support to executive leaders and department heads, ensuring efficient operation of the office.
  • Manage calendars, schedule meetings, and coordinate travel arrangements, ensuring optimal time management of executives.
  • Handle confidential and proprietary information with discretion and integrity.
  • Prepare and distribute meeting agendas, take detailed notes during meetings, and ensure follow-up on action items.
  • Create and maintain a system for managing documents and files, both digital and physical, to support organizational efficiency.
  • Serve as a liaison between executives and other staff, as well as external partners, to facilitate communication and project coordination.
  • Organize and oversee special events and projects, demonstrating strong project management skills.
  • Prepare and edit correspondence, reports, and presentations, maintaining a high standard of accuracy and professionalism.
  • Assist in the preparation and control of operational budgets related to office and administrative expenses.
  • Available to work outside of standard office hours as needed.
  • Perform other tasks as assigned to support the diverse needs of the organization.
  • Maintain excellent phone etiquette and professional conduct at all times.

Qualifications:

  • Proven experience as an Administrative Assistant, Secretary, or similar role supporting senior-level managers or executives.
  • Excellent organizational skills and the ability to prioritize multiple tasks seamlessly with superb attention to detail.
  • Strong knowledge of office management systems and procedures.
  • Outstanding communication and interpersonal abilities, including excellent phone etiquette.
  • Proficiency in MS Office, with aptitude to learn new software and systems.
  • Ability to handle confidential information with discretion and professionalism.
  • High school diploma required; further education or certification in Office Administration is a plus.
  • Bilingual abilities preferred, to accommodate diverse communication needs within the organization.
  • Demonstrated ability to work independently as a self-starter.

Work Environment:

This position operates in a fast-paced manufacturing environment for smart electronics. The candidate must be able to adapt to rapid changes and fluctuations in workload and priorities. An understanding of safety fundamentals and adherence to Good Manufacturing Practices (GMPs) are critical to ensure both personal and team safety and compliance. Candidates must demonstrate the ability to quickly assimilate safety protocols and operational procedures to maintain high standards of safety and quality in all aspects of their work.
