Responsibilities

  • Welcoming clients and determining the nature of their visit and announce to appropriate personnel, guiding them to the conference room and providing beverage as needed.
  • Maintaining conference rooms clean and ready for next meeting.
  • Answering incoming calls, identifying the caller, and the nature of the call. Forwarding the caller to the appropriate person or taking clear messages with all the information.
  • E-mailing all messages received to the appropriate person if unavailable.
  • Ensure main voicemail reflects office closings, and special events.
  • Acquire all messages left in the general voicemail and distribute accordingly.
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Assists with other related clerical duties such as photocopying, faxing, filing and scanning.
  • Participate in special projects throughout the year.

  • Must have corporate experience.
  • Friendly disposition
  • Proficient in the Ring Central System
  • Professional and presentable, as this position is the first person the client sees upon their arrival.
  • Collaboration skills.
  • Excellent customer service and focused on client satisfaction.
  • Excellent computer skills.
  • Must have previous corporate experience.
  • Available for overtime as needed during tax season.

Required Education and Experience

  1. Minimum High School Diploma or GED required.
  2. One year of administrative experience.
  3. Experienced in dealing with high-net-worth clients in a corporate environment.
  4. Proficient in the Microsoft Office Suite, especially Outlook
