Position Summary

The GL & AP Accountant is responsible for full cycle activities relating to certain of the Company’s General Ledger accounts, including month, quarter, and year-end close, as well as processing of accounts payable. This position reports to the Accounting Manager.

Position Description

Responsibilities

Individual Contributor:

  • Primary responsibility for GL functions on the corporate accounting team, including cash, accruals, prepaids, and other areas as necessary.
  • Complete daily cash reporting
  • Assist the Accounts Payable team as needed to ensure accurate and timely processing of invoices and payments, and maintain a target standard of invoices in the queue.

Process Improvement:

  • Identify and implement process improvements to enhance efficiency and effectiveness within the AP department.
  • Streamline invoice approval workflows and payment processes.

Vendor Relations:

  • Maintain relationships with vendors and resolve payment discrepancies or issues.

Compliance:

  • Ensure compliance with company policies and relevant financial regulations.
  • Stay informed about changes in accounting and tax laws affecting accounts payable.
  • Ensure Sales and Use Tax compliance

Reporting:

  • Responsible for reconciliation and variance reporting on monthly close in areas of ownership
  • Assist in preparation of quarterly and annual audit materials
  • Generate and analyze AP-related reports.
  • Provide regular financial reports to management.
  • Responsible for compiling vendor data and sending out year-end 1099’s

Audits:

  • Prepare material for and facilitate execution of internal and external audits related to accounts payable.
  • Ensure all documentation is available and accurate.


Requirements:

Knowledge, skills and abilities

  • General ledger experience in a full-cycle accounting department
  • Full cycle accounts payable experience
  • Excellent communication skills, both written and verbal.
  • Ability to adapt to changes and work in a fast-paced environment.
  • Strong organizational and multitasking abilities.
  • Ability to work both independently as well as on teams
  • Exceptional analytical and problem-solving skills.
  • Attention to detail and a commitment to maintaining high standards of accuracy.
  • High level of proficiency in MS Word, Excel and ERP systems
  • Ability to quickly learn other software as needed

Education and experience

  • HS diploma or equivalent; Bachelor’s degree in Accounting, Finance or related field preferred
  • Experience with accounting software and ERP systems; benefit if experience is with NetSuite
  • Proven experience in accounts payable, and Zone AP
  • Experience in AP automation preferred.

Physical Demands

  • Ability to sit for extended period while working at a computer workstation
  • Frequent use of a computer, including typing, data entry, and navigating various software applications
  • Periodic use of a telephone to communicated with vendors, suppliers and other departments
  • Handling and organizing physical documents
  • Periodic standing, walking and moving around the office to retrieve documents, get the mail, attend meetings, interact with colleagues
  • Good auditory skills for phone conversations and verbal communications
  • Adequate visual acuity for reading invoices, data entry, and working with computer screens
