Job Summary:

The Sales Coordinator supports the Sales Department by performing sales and administrative functions, and coordinating projects and tasks to help drive Group, Corporate/BT and Transient business for the Courtyard, SpringHill Suites, and Residence Inn Downtown Bozeman. In close collaboration with the Area Director of Sales and Sales Manager(s), this position plays a crucial role in receiving and qualifying new business inquiries, generating new account prospects, and coordinating and implementing various group and corporate account functions.


Duties/Responsibilities:

  • Receives, qualifies, logs and distributes new business inquiries (leads)
  • Assists with sales efforts in identifying, prospecting and soliciting new business opportunities, and in selling guestrooms and meeting spaces
  • Assists in coordinating site tours, sales appointments/trips, and VIP arrangements
  • Fields internal and external calls and requests, and conducts appropriate follow-up; effectively communicates and coordinates client requests and needs, collaborating with other team members/departments as appropriate
  • Provides clerical and administrative support and generates reports
  • Collects/produces/maintains sales and marketing collateral, including proposal templates, sales sheets, signage, menus, etc.
  • Assists meeting operations with functions periodically as needed, including room set-up and tear-down
  • Demonstrates knowledge of the hotel and competitors’ facilities, services, amenities, and meeting space
  • Maintains accurate, legible records and files to provide group/client history, ensure future and current service quality, and enhance prospects
  • Assists in group accounting and billing tasks, ensuring payments/deposits are collected per contract
  • Additional duties as assigned


Required Skills/Abilities:

  • Excellent verbal and written communication skills with the ability to speak, read, and write English fluently
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail, with the ability to handle multiple projects and tasks concurrently with moderate supervision; must be self-motivated and able to prioritize effectively
  • Flexible, versatile and a fast learner, able to adapt quickly and maintain calm in a fast-paced environment
  • Must present a well-groomed appearance and professional manner; professional phone and email etiquette
  • Able to meet the attendance guidelines of the job and adhere to departmental and company policies; willing and able to work a flexible schedule as needed
  • Strong analytical and problem-solving skills
  • Strong supervisory and leadership skills
  • Extensive knowledge of hotel and hospitality industry
  • Proficient with Microsoft Office Suite or related software

Education and Experience:

  • 4-year college degree or equivalent experience preferred
  • Previous hospitality experience preferred

Physical Requirements:

  • Must be able to remain in a stationary position during shift.
  • Must be able to access and navigate the facilities.
  • Employees are required to adhere to safety requirements by wearing the appropriate personal protective equipment.
  • Work is routine and repetitive in nature and may require strenuous physical exertion at times, including the ability to move objects weighing up to 50 lbs.

Must possess a valid Driver’s License
