Position Description

Position Title: Administrative Assistant/Customer Service Representative

Reports To: General Manager

Status: Non-Exempt, Hourly

Job Type: Full Time

Supervises: N/A

Location: ABQ

The Administrative/Customer Service Representative is responsible for providing exceptional customer service and administrative support to ensure the smooth operations of the organization. This position requires excellent communication skills, strong problem-solving abilities, and the ability to handle multiple tasks simultaneously.

· Responsibilities:
Process vendor invoices promptly and accurately

· Responsible for scheduling and executing payment disbursements in accordance with payment terms and company policies

· Monitor Account receivables daily to identify outstanding accounts

· Call customers on past due accounts and to encourage timely payments

· Answer incoming calls and direct them to the appropriate department or individual.

· Respond to customer inquiries and resolve issues promptly and efficiently, ensuring customer satisfaction.

· Provide administrative support such as data entry, filing, and document preparation.

· Maintain accurate customer records and update databases as required.

· Coordinate with other departments to ensure seamless communication and collaboration.

· Assist in organizing and coordinating meetings, conferences, and events.

· Generate reports and provide regular updates to management on customer feedback, trends, and suggestions for improvement.

· Stay up-to-date with product knowledge and company policies to provide accurate information to customers.

· Continuously seek ways to improve customer service processes and procedures.

· Performs other tasks as required.

Knowledge, Skill & Other Requirements:

· High school diploma or equivalent; additional education or certification in customer service or administration is a plus

· Netsuite and Bill.com experience; plus but not required.

· Ability to handle difficult customers and challenging situations with professionalism and patience.

· Strong interpersonal skills and the ability to build rapport with customers and colleagues.

· Must be legally authorized to work in the United States.
