Job Summary

Rapid Fire Safety & Security LLC is seeking a highly skilled and detail-oriented Administrative Assistant/Customer Service Representative to join our team. As a key member of our organization, you will be responsible for providing exceptional customer service and administrative support to ensure the smooth operations of our company.

Key Responsibilities:

  • Provide exceptional customer service to internal and external customers, responding to inquiries and resolving issues in a timely and professional manner.
  • Process vendor invoices and payment disbursements in accordance with payment terms and company policies.
  • Monitor account receivables daily to identify outstanding accounts and take necessary actions to resolve.
  • Call customers on past due accounts to encourage timely payments and resolve any issues.
  • Answer incoming calls and direct them to the appropriate department or individual.
  • Respond to customer inquiries and resolve issues promptly and efficiently, ensuring customer satisfaction.
  • Provide administrative support such as data entry, filing, and document preparation.
  • Maintain accurate customer records and update databases as required.
  • Coordinate with other departments to ensure seamless communication and collaboration.
  • Assist in organizing and coordinating meetings, conferences, and events.
  • Generate reports and provide regular updates to management on customer feedback, trends, and suggestions for improvement.
  • Stay up-to-date with product knowledge and company policies to provide accurate information to customers.
  • Continuously seek ways to improve customer service processes and procedures.

Requirements:

  • High school diploma or equivalent; additional education or certification in customer service or administration is a plus.
  • Netsuite and Bill.com experience; plus but not required.
  • Ability to handle difficult customers and challenging situations with professionalism and patience.
  • Strong interpersonal skills and the ability to build rapport with customers and colleagues.
  • Must be legally authorized to work in the United States.
