Job Description

This position will be an integral part of the Purchasing Operations and Support team reporting to the Process Development and Systems Sr. Manager. The candidate will be responsible for optimizing the procurement and logistics system by building efficiencies to the daily operations through automation and system development, guiding peers and stakeholders in the best utilization of our procurement system tools and development as it relates to Oracle Fusion or external systems, department processes and support. The position requires technical proficiency and experience in process design, change management and functional development. The Systems Development specialist’s key focus will be to collaborate with both the Supply Chain business clients and external system partners to develop and execute high-impact, global, employee communication, training, and change management solutions.

Essential Duties and Responsibilities

  • Identify and drive system initiatives that empower the internal business teams to operate more efficiently and effectively.
  • Assess the efficiency and effectiveness of existing processes and information system tools to meet the needs of the organization.
  • Support the development and implementation of improved functionality that enables greater efficiencies and effectiveness within the supply chain lifecycle.
  • Manage end user support and training by assisting with the creation of instructional material, including SOP’s, quick reference guides, instructor-led training, information sheets and web-based training. Partnership with the Learning and Development team is expected.
  • Identify and research metrics to obtain trends and patterns to identify process/system opportunities and recommend corrective action.
  • Act as the liaison between business teams across Supply Chain, which include, but not limited to the functional Procurement and Logistics teams, Finance, Corporate Services, IT and Resort Operations.
  • Develop, maintain, and enhance workflow rules and business logic, for the Operations and Supply Chain team. This includes, but not limited to requirements gathering, development of solution design specific to business needs, as well as configuration, testing, training, transition to production, and post go-live support.
  • Maintain, manage, and troubleshoot critical IT issues with the external system partners to identify root causes and drive solutions. Review IT tickets for data and information to update training needs and end-user communication.
  • Works with external system partners and internal business teams to resolve day-to-day technical/procedural challenges.
  • Must comply with all CFI/Westgate policies and procedures.
  • Must represent Westgate Resorts in a professional manner through appearance, dress, and professional behavior at all times, as dictated in the Associate's Handbook.
  • Must work diligently to gain knowledge and experience to execute the role to its full potential.

Qualifications

  • 3 to 5 years of experience within direct/indirect purchasing
  • 3 to 5 years of experience in program support and/or project management
  • Experience in using Oracle Fusion, ERP or SAP or similar system
  • Experience in utilizing RF Smart preferred but not required
  • Timeshare, hospitality service industry and/or customer service experience.

Skills/Knowledge

  • Knowledge and understanding of sourcing, procurement, warehousing, and logistics business practices.
  • Excellent organizational, relationship, interpersonal, troubleshooting, attention to detail, time management, priority management, and multi-tasking skills
  • Excellent verbal and written communication skills
  • Strong research skills to determine organizational needs, develop strategies to meet those needs, and evaluate their effectiveness.
  • Intermediate to Advanced PC skills including all Microsoft suite products
  • Experience and knowledge of change management principles, methodologies, and tools
  • Excellent active listening skills
  • Ability to clearly articulate messages to a variety of audiences
  • Flexible and adaptable; able to work in ambiguous situations.
  • Able to work effectively at all levels in an organization.
  • Decisive and persuasive; ability to solve problems and make proactive decisions.

  • Able to work with video, including screen captures, and webinars.

Education & Certifications:

  • Bachelor’s degree or equivalent work experience in Information Technology, Supply Chain, Organizational Development, Instructional Design, Business, Program or Project Management, or related field.

Physical Demands:

  • Regular visits to construction sites.
  • Occasionally lift/move up to 10 pounds.

Language Skills:

  • Read and comprehend simple instructions, short correspondence, and memos.
  • Write simple correspondence.
  • Present information effectively in one-on-one and small group situations.

Mathematical Skills:

  • Add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.

Reasoning Abilities:

  • Apply common sense to carry out detailed but uninvolved instructions.
  • Define problems, collect data, establish facts, and draw valid conclusions.

Work Environment:

  • Majority of work conducted from an office or field office.
