Position Overview:

The Accounts Payable Specialist will perform all functions related to invoice processing, customer receipts, and mortgage payments, and assist with year-end regulatory reporting. The position involves daily maintenance of the vendor and customer database, administration of organizational debt obligations, and management of internal and external customer relationships for multiple entities.


Work Schedule: Hybrid – Monday & Friday onsite, 9:00am – 5:00pm, final schedule to be determined by supervisor


Your Impact:

  • Review, post, and process vendor payments in Yardi.
  • Respond timely to Yardi exception queue errors.
  • Ensure payment requests are properly approved.
  • Review vendor statements, reconcile, and resolve outstanding issues timely.
  • Proactively monitor payable activity to ensure vendors are paid on time.
  • Process all vendor auto payments (ACH and EFT), codes, and post to the accounts payable module.
  • Routes and codes invoices to appropriate internal customers for review and approval.
  • Responds to internal and external customer inquiries and conduct research related to invoice payments and approvals.
  • Monitor Accounts Payable email inboxes.
  • Ensure voided payment transactions are correctly processed and properly destroyed.
  • Respond to and research inquiries in a timely and professional manner.
  • Keep current on IRS vendor reporting requirements.
  • Monitor workflows and follow up on outstanding items.
  • Follow up on outstanding invoice approvals.
  • Verify that all mortgages have been posted.
  • Request approval of any outstanding credit card charges.
  • Assist the department with posting AP accruals at month-end, quarter-end, and year-end close.
  • Review the aged payable report.
  • Ensure internal controls and Bellwether policies are applied to all transactions.
  • Continually assess AP system and processes for improvements and efficiencies.
  • Collaboratively work with other departments to resolve posting/billing issues, when applicable.
  • Undertake other duties as assigned.
Requirements:

Who You Are:

  • Bachelor’s/Associate degree in accounting, or equivalent experience.
  • Minimum 2 years experience with accounts payable processing using an ERP system.
  • Proficient in Microsoft Office applications including Excel, Outlook, and Teams.
  • Requires meticulous attention to detail and routines.
  • Ability to respond quickly and tactfully to customer requests.
  • Good oral and written communication skills.
  • Ability to work independently and as part of a team.
  • Yardi experience is a plus.
  • Multi-entity experience.
  • Knowledge of Generally Accepted Accounting Principles Customer-first focus, creative problem-solving skills.
  • Working knowledge of automated accounting systems.
  • Effective verbal and written communication skills; ability to effectively train employees.
