The Administrative Assistant provides support to managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.

Job Duties
  • Provide excellent customer service as the organizations first impression to customers, vendors, and other visitors.
  • Manage hospitality of the office activities for customers (beverages, lunches, etc)
  • Daily interaction with suppliers and vendors on office related issues
  • Daily processing of invoices and packing slips for open projects, and spare parts.
  • Daily interaction with management, and other staff on office related goals and issues
  • Manage phone calls, messages, and transfers utilizing the Shortel phone system
  • Daily interaction with process partners at other Edgewater locations to insure proper communication within overall corporation.
  • Sort and deliver mail
  • Arrange employee and customer travel, as needed.
  • Weekly updates to Project Spreadsheet and distribution to Project Management for review
  • Enter and track all employee company Tool Bills
  • Monthly reconciliation of company credit card statements
  • Monthly filing of expense reports for company President
  • Commit to advanced training on necessary office programs including, but not limited to:
    • Quickbooks
    • Total ETO (Questica)
    • MS Office related programs
    • SAP Concur
  • Oversee and manage the general day-to-day Front Office function
    • Assist in creation of SOP’s, and other procedures deemed necessary

Required Computer Skills

  • Windows based operating systems
    • SAP Concur (desired)
    • Microsoft Teams

Required Education and Experience

  • An equivalent combination of education and experience will be considered.
  • Associates' degree in business or management.
  • 5 years’ experience in front office administration.

Supervisory Responsibility

This position has no supervisory duties

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00AM to 5:00PM. Occasional evening and weekend work may be required as job duties demand.
