Position Overview:


The Executive Assistant will provide high-level administrative support to our CEO, ensuring efficient operation of the executive office. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities with a professional demeanor.

Key Responsibilities:

  • Calendar Management: Coordinate and manage the executives calendar, including scheduling meetings, appointments, and travel arrangements.
    Communication: Handle all incoming and outgoing communications, including emails, phone calls, and correspondence. Prepare and edit documents, presentations, and reports.
    Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and follow-up actions. Take minutes during meetings and ensure timely distribution.
    Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
    Office Management: Oversee the day-to-day operations of the executive office, ensuring all administrative tasks are completed efficiently and effectively.
    Project Support: Assist with special projects and initiatives, conducting research, gathering data, and providing administrative support as needed.
    Expense Management: Track and reconcile expense reports, ensuring accurate and timely submission.
    Confidentiality: Maintain strict confidentiality and discretion regarding all business matters and sensitive information.
    Relationship Building: Serve as a liaison between the executive and internal/external stakeholders, fostering positive relationships and ensuring effective communication.

Requirements:

  • Proven experience of 3 years minimum as an Office Administrator or in a similar role.
  • Proficient in MS Office (especially Excel and Word) and office management software.
  • Strong organizational and time management skills with the ability to prioritize tasks, ensuring projects are completed on time.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive and adaptable approach to working in a fast-paced environment.
  • A diploma or degree in Business Administration or a relevant field is preferred.
