Atira Hotels is seeking a dedicated Sales Coordinator. The purpose of the Sales Coordinator is to increase room revenue by increasing the production of existing special, corporate/travel agent/consortia accounts and groups in conjunction with the Sales Manager(s).


Job Functions

  • Ensures that each Guest receives outstanding Guest Service by providing a Guest friendly environment which includes greeting and acknowledging every Guest, maintaining outstanding standards, solid product knowledge, and all other components of Guest Service.
  • Empowered to guarantee total guest satisfaction, display hospitality and professionalism to our guests at all times, take pride in representing Atira Hotels professionally with our guests, and assuring that all transactions with guests are handled in a legal and ethical manner.
  • Understands and applies all property safety and security procedures to maintain a secure and safe environment for associates and guests at all times. In the event of an accident or emergency, gets medical attention if necessary and contacts the AGM or GM immediately.
  • Maintains a favorable working relationship with all company associates to foster and promote a positive working environment.
  • Handle Transient and Group activity.
  • Develop action plans to solicit business.
  • Develop relationships with key lead generating sources i.e., third parties, CVB, the sales organization.
  • Conduct site visits and tours of the hotel; entertain qualified clients. Attend client’s events and special third-party events to build relationships and secure business leads.
  • Find creative approaches to both attract and retain business.
  • Use resources to research and find new and existing businesses.
  • Be self-motivated with an entrepreneurial spirit.
  • Know how to prepare unique client proposals for group programs.
  • Solicit new and existing accounts to meet/exceed revenue goals through telephone solicitation, outside sales calls, site inspections, and written communication.
  • Pursue opportunities in untapped Corporate Markets for Individual transient sales efforts - Travel Agencies, Wholesale segment focus.
  • Represent property at the hotel, local, and other special events. Participate in sales and marketing functions as needed.
  • Compose and express thoughts in a clear and understandable way to ensure effective communications.
  • Manage multiple activities often in stressful situations with strong organization skills.
  • Possess the professional style and confidence to effectively represent the hotel and execute the duties and responsibilities of the position.
  • Keep organized files for all corporate and group acts.
  • Complies with Company Standards of Service as outlined for Atira Hotels.
  • Projects a favorable image of Atira Hotels to the public at all times.
  • Performs all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position.
  • Treats guests, vendors, customers, and co-workers with professionalism and respect at all times.
  • Completes Departmental, and Brand standards training as assigned.
  • Maintains a clean and neat appearance at all times.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays.

Summary

The Administrative/Sales Coordinator is responsible for providing support for the Administrative and Sales departments. The individual should be a highly organized business professional who is detail oriented and offers excellent time management, project management and verbal/written skills. They should posses a strong hospitality oriented spirit and enjoy dealing with the public.

Responsibilities
• Provide daily administrative support to the Director of Sales, Sales Managers and GM when needed.
• Effectively interface internal/external customers at all levels.
• Learn and utilize all sales tools & systems (Delphi FDC) to their maximum potential as required.
• Expedite the flow of work to ensure all deadlines are met.
• Maintain calendar, schedule appointments, and generate agendas as required.
• Plan, organize and coordinate internal meetings, and prepare and distribute materials, as needed.
• Assist with the preparation of BEOs, reports, presentations and correspondence.
• Preparation of sales packets and tour information.
• Provide phone coverage as needed.
• Ordering of supplies and mail handling.
• Ensure accuracy and timeliness of customer statements by posting accounts, allowances, refunds and payments.
• Flexibility to work varying schedules to reflect the business needs of the customer and hotel.
• Filing support for the accounting and sales departments.
• Rooming list input, Hilton HHonors distribution submissions, Delphi maintenance.
• Social media facilitator.
• Attend trade shows as needed.
• Distribute reports as needed and manage distribution lists.
• Process direct bill applications.
• Process credit card authorization and tax exemption forms.
• Book and process all catering events as assigned by the DOS and/or GM
• Maintain accurate information is input into Delphi FDC
• Perform site inspections as needed by potential clients
• Perform additional duties and directives as requested by the DOS & GM

Experience/Education

High School diploma required; Bachelor’s Degree would be a plus
• Minimum 2 years administrative support or similar experience.
• Excellent written and verbal communication skills.
• Better than average skill level with Microsoft Word, Excel and PowerPoint.
• Ability to organize, prioritize and handle multiple time-sensitive tasks.
• Ability to work independently with minimal direct supervision.
• Some flexibility regarding hours may be required at times.
• Past experience working in an office setting and with other business professionals
• Delphi experience preferred
