This position is onsite in Escondido, CA.
Compensation:$30 - $35 hourly DOE
Responsibilities:- Welcome and assist guests in the reception area, manage incoming mail, and operate a multi-line phone system.
- Handle email correspondence promptly, prioritize important messages, and ensure timely responses.
- Schedule and organize meetings, appointments, and conference calls efficiently.
- Assist in arranging travel bookings, accommodations, and itineraries as needed.
- Prepare and submit accurate expense reports in compliance with company policies.
- Serve as a liaison between departments, conveying messages and facilitating communication.
- Collaborate with various departments to gather necessary information, documents, or reports.
- Supervise office operations to ensure smooth day-to-day functioning.
- Manage office supplies, equipment, and inventory levels, making procurement decisions when required.
- Coordinate office maintenance, repairs, and facilities management tasks effectively.
- Support in drafting, reviewing, and managing contracts, agreements, and legal documents when necessary.
- Coordinate the maintenance, servicing, and scheduling of company vehicles.
- Manage documentation related to the company's fleet, including registrations, insurance, and inspections.
- Successful track record of providing administrative support to senior executives, including managing calendars, travel arrangements, and communications.
- Exceptional organizational skills with a strong attention to detail and ability to multitask effectively.
- Proficient in office management software such as Microsoft Office Suite and experienced with email scheduling tools.
- Strong interpersonal and communication skills to interact effectively with individuals at all organizational levels.
- Demonstrated ability to handle confidential information with discretion.
- Knowledge of contract management processes and basic legal principles is advantageous.
- Capable of making independent decisions, prioritizing tasks, and managing multiple responsibilities concurrently.
- Excellent written and verbal communication skills for effective engagement with internal and external stakeholders.
- Minimum qualifications include a High School Diploma and at least 3 years of experience supporting senior executives.
