Job Description

We are seeking a dynamic and detail-oriented Program Coordinator to lead and oversee multiple programs within the Technology division. This individual contributor will manage and lead the division's two unique talent programs: Technology Associate Program (TAP) and Drake BlueX Program (BX). TAP is a program geared toward recent graduates in the technology field; they complete a two-year rotation across four areas in our Technology division. The BX program is a four-year community-based partnership with Drake University offering technology students formal mentoring and part-time internship opportunities. You will represent Wellmark Technology in collaborating with Technology Leadership, human resources, Drake professors, and others to cultivate and grow the next generation of technology leaders. 

Additionally, you will play a pivotal role in overseeing the division’s Centers of Excellence (CoEs) and Communities of Practice (CoPs) which support our transition to agile and SAFe. The Program Coordinator will work with stakeholders throughout the division to lead the Technology Innovation program initiatives, including tracking the investments and completing financial and status reporting. 

Qualifications

Preferred: 

  • Previous experience coordinating emerging talent programs and/or working with emerging talent
  • Strong informal leadership and decision-making skills 
  • Knowledge of various technology teams and terminology (IE: Agile, Cyber Security, Software Engineering, Analytics, Etc.) 

Required:

  • Associates degree or direct and applicable work experience
  • Minimum of 4 years previous experience in a project/program management support, or administrative support in which you supported multiple leaders or team members, or office administration role
  • High level of attention to detail
  • Multitasking, organizational, and continual prioritization skills. With the ability to succeed in a fast-paced office environment with multiple assignments and deadlines
  • Effective verbal and written communication skills and communicating with varying levels of leadership
  • Strong experience with Microsoft office suite - e.g. Outlook, Word, PowerPoint, Excel


Additional Information

a. Program Support - Provide moderately complex administrative support to program leaders including organization of cadence meetings. This includes, but is not limited to, preparing program meeting agendas, distribution of meeting minutes, tracking progress on outstanding program items

b. Program Resource Management – Coordinate with Program Directors and Program Leaders to have a clear understanding of program resource needs for consultants and full time employees. Collaborate with the resource manager, budget, procurement, vendors and human resources to ensure steps are being taken to secure resources quickly for the program. Provide communications to program team and ensure onboarding and necessary training takes place.

c. Reporting - Prepare and/or create error free moderately complex documents and materials in a timely manner for internal/external communications. May maintain database(s) including the entry, analysis and the gathering of information to produce reports. Compile data from multiple sources and create sensible charts, graphs, and reports. Exercise solid judgment/discretion in the collection and dissemination of sensitive/confidential information. This could include confidential documents such as business plans, legal actions, personnel information, etc.

d. Customer Service – Provide support to team members, customers, vendors, stakeholders and employees through friendly, professional, timely and accurate response to their inquiries. Where situations allow provide problem resolution, research, and interpretation of departmental procedures, and provide recommendations that proactively support customer satisfaction.

e. Budget - Participate in the budget process for multiple program teams to ensure timely completion, including but not limited to planning, data entry, account reconciliation and the timely handling of bills with internal and external customers/vendors. Review vendor invoices against contracts and ensure they are aligned and can be approved

f. Other job duties as assigned.
