Position Summary:

The Sales Administrator is the backbone of our sales team, ensuring smooth and efficient operations by providing top-notch administrative support for all sales activities.


Key Responsibilities:

  • Serve as the primary contact for non-product related customer issues such as order status, quotes, and payments.
  • Monitor and manage customer portals for downloading/uploading quotations and purchase orders (POs).
  • Complete vendor forms.
  • Handle the return to stock process.
  • Run and update the Daily Bookings Report (BDBR).
  • Follow up on credit card issues, down payments, and delivery delays.
  • Verify the accuracy of customer quotes, including prices, terms, quality, shipping, and billing addresses.
  • Convert quotes into orders upon receipt and verification of customer POs.
  • Generate invoices with clerical precision and ensure timely delivery to customers.
  • Proactively update customers on delivery status and PO changes.
  • Assist Inside and Outside Sales Representatives with maintaining the C4C database and necessary updates.
  • Provide Sales Engineers and Managers with requested data and information.

Qualifications:

  • High school diploma or equivalent, with two or more years of experience in Sales Administration or a related field.
  • Familiarity with customer Purchase Orders, Terms & Conditions, and Sales Contracts.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Strong organizational skills and attention to detail.
  • Familiarity with ERP Customer Relationship Management Systems such as SAP and C4C or contact databases is a plus.
  • Excellent written and verbal communication skills.
