Summary/ Objective:

This position is responsible for the procurement, scheduling and movement of all Site Inventory Management Solutions (IMS/SIMS) material during the length of the contract or job.

Essential Functions:

  • Works with and supports the IMS/SIMS Business Development Specialist with pricing negotiations, setting up pricing and maintaining pricing levels and contracts. Responsible for uploading and maintaining this information on company network drive.
  • Communicate and coordinate large purchases of material with Purchasing, using this leverage to gain better pricing or terms.
  • When appropriate, negotiate shipping schedules with vendors to reduce handling and storage costs for Schaedler Yesco.
  • Work intelligently by utilizing all available resources and tools to prevent adding excess product to SYD’s inventory.
  • Responsible for the oversight of non-stock material. Guarantee that non-stock material is NOT ordered until we have obtained the signed SIMS contract acknowledging customers responsibility. At the end of job, determine disposition of non-stock material. Return material to the manufacturer or bill the customer for the unused material.
  • The IMS/SIMS Administrative Manager is responsible for initiating all of the administrative tasks on the “start-up” job queue.
  • Schedule material delivery in Eclipse and update accordingly based on job changes. Review backordered material and initiate any action necessary to prevent a disruption of service to the customer.
  • Responsible for facilitating all material change orders and making necessary changes with purchasing and/or vendors.
  • Work closely with the Field Operations Manager regarding inventory levels and returns.
  • Identify opportunities to promote and sell additional SYD services or targeted labor savings products. Support initiative and programs to provide and grow add-on sales.
  • Generate and deliver Open Order Report to the IMS/SIMs Operations Manager.
  • Responsible for the scheduling, creation, review and delivery of product submittals.
  • Once a SIMS project is completed, facilitate the data gathering and completion of the “End of Job” report and deliver to the appropriate outside sales representative.
  • Coordinate, plan and schedule workload activities for IMS/SIMS coordinators.
  • Oversee maintenance and adherence to policies for the IMS/SIMS folder on the company network drive. All job-related information is to be stored on the company network drive. Folder is to be current and organized. Older data is to be archived.
  • Conduct regular departmental meetings for planning, reviewing policies, processes and procedures. Encourage feedback to uncover and solve problems while making improvements that positively impact efficiency and improve the customer service experience.
  • Continually evaluate the department for process improvement and make suggestions on how to implement these recommendations.
  • Coordinate with the Western IMS/SIMS Operations Manager to share best practices and work towards similar business practices between geographical territories.
  • Coordinate "Contractor First" inside sales coverage for SIMS projects with the appropriate Territory or Customer Experience Manager.
  • Directly engage with the appropriate customer contact to periodically check that expectations are being met. This would include purchasing and accounting personnel as well as project managers and site foreman.
  • Confirm all required paperwork is completed properly for each project and is saved on the Company network drive. Essential documents for this task include the Pre-Approval form, the signed customer contract, the end-of-job Pre-Approval form and the official End-of-Job customer and executive report.

Supervisory Responsibility:

  • This position is a supervisory role and the following roles report directly to the IMS/SIMS Administrative Manager:
    • SIMS/IMS Coordinator

Work Environment:

This job primarily operates with frequent visits to both construction and industrial facilities with the balance of time in an office setting. Temperatures do vary based on job location/site. OSHA guidelines as well as site-specific safety guidelines must be followed at all times. Appropriate PPE needs to be worn which includes hard hats, safety vests, safety glasses, fire proof clothing (in certain locations), and steel toe shoes.

Physical Demands:

While performing the duties of this job, the employee is required to have:

  • the ability to stand, walk for moderately long distances, stoop, kneel, crouch, and manipulate (lift, carry, move) weight up to 50-75lbs (conduit and wire)
  • Move material from an outdoor trailer to an indoor job box
  • Work outside in inclement weather
  • Ability to use a keyboard and type proficiently
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus

Travel:

Some overnight travel is required and the employee can reasonably expect on average 10-15% potential overnight travel to meet the demands of the position. Should travel be required a valid driver's license with a clean driving record is necessary for this position.

Clearances and Certifications:

  • Various clearances will be required for specific customer sites
  • U.S. Citizenship or U.S. Permanent Resident status required.

Education and Experience:

  • High School Diploma or equivalent required;
  • Bachelor’s degree in business management or administration preferred
