The SPED/Admin Assistant is a 12 month position supporting the special education team. This positions has two weeks paid vacation at the end of the school year, returns for one month of work during the extended school year program (in July), has another two weeks of paid vacation in early August, before returning for the new school year in late August.


SUMMARY:
The SPED/Admin Assistant provides assistance to the Special Education team by performing a variety of administrative and clerical tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

Data Management: Updates and Maintains databases such as Review 360, ORSPED, SYNERGY, and TEAMS department files to ensure accurate and timely information on student progress and services.

  • Maintains accurate and complete academic records of past and current students in an organized and efficient manner, in compliance with confidentiality and regulatory requirements.
  • Records Request: Facilitate the sending and receiving of records requests from parents, educators, and outside agencies in accordance with policies and regulations.
    Meeting Coordination: Schedule and coordinate meetings for the Special Education Coordinator(s) and Special Education Director, ensuring adherence to deadlines and making sure that all participants have a timely notice for the invitations to meetings.
  • Communication: Serve as a point of contact for inquiries related to special education services, efficiently communicating information to parents, staff, and outside providers as needed. Effectively communicate issues, concerns, and updates and collaborate with SPED team members to resolve problems
  • Administrative Support: Assist with administrative tasks such as drafting correspondence, and managing calendars, and making copies. Make sure SPED team is prepared with all meeting materials before their meetings.


Compliance: Ensure adherence to special education policies, procedures, and legal requirements in all aspects of record keeping and communication.

  • Enters IEP data.
  • Files documentation and reports.
  • Receives files and maintains materials in student confidential files.
  • Prepares demographic reports regarding student population.
  • Provides administrative support for special projects and reports as needed.

    SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill, and/or ability required. Education: High school diploma or general education degree (GED) and six to twelve months related experience and/or training; or equivalent combination of education and experience.


Certification/Licenses: None required


General skills: Ability to read and interpret documents such as procedure manuals and incident reports. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to handle multiple tasks at one time.


Computer skills: Proficiency with Microsoft Office 365 and fluency among SIS, and data entry skills.
Physical Demands: Must be able to work at a computer and type for extended periods of time. Regular attendance is a necessary and essential function.
