Job DescriptionJob Description

The SCAI Sales Support Representatives are a critical link between manufacturing, operations, sales engineers, and the customers. Sales Support Representatives typically have a customer service or purchasing background, 3-7 years working experience. This role requires the individual to operate within an ERP system (EPICOR, SAP), translate customer needs to customer orders, and work with the manufacturing and planning departments. They will complete administrative duties for the sales team, answer customer questions, communicate updates to order status, and help to resolve customer issues.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Compiling daily lists of leads and delegating them to sales team associates
  • Maintaining an accessible and organized filing system for sales and administrative professionals
  • Handling administrative duties for the sales department or team, including data reports and sales guides
  • Providing assistance to management team members and executives as needed
  • Performing data entry duties in regards to metrics, sales figures and other key data
  • Creating and processing sales in a timely manner
  • Expediting requests rush orders and altering sales orders and shipping information as required
  • Help troubleshoot problems with customer orders, customer accounts and other related issues
  • Monitor sales performance through sales tracking tools and report progress to team members
  • Identify and keep up with sales trends
  • Work with sales engineers to create and implement targeted sales strategies
  • Keep up with new product sales launches and make sure the sales team is up to date
  • Provide customer service by staying on top of pending orders and customer requests
  • Identify where improvement is needed in sales practices and make suggestions for improvements
  • Answering customer inquiries, and follow up with customers about their order status
  • Creating and processing orders in a timely manner, processing requests for rush orders, and reviewing pending orders and customer requests to ensure customer satisfaction
  • Following up with customers for administrative purposes, and providing troubleshooting assistance for orders, account statuses, and other problems
  • Performing data entry tasks for sales figures, metrics, and other relevant information and maintaining and organized and accessible filing system
  • Developing and monitoring performance indicators for sales and staff members, managing sales tracking tools, and compiling reports

Required Qualifications

  • High school diploma/GED required; Bachelor’s degree in business, marketing or related field is preferred
  • Proficient in computer software systems including MS Office
  • Working knowledge of customer relationship management
  • Excellent motivational skills and works well with a team but also able to work alone
  • Strong communication and interpersonal skills and dedication to customer satisfaction
  • Excellent time management and organizational skills and ability to multitask and prioritize
  • Knowledge of sales practices and the most efficient customer service techniques
  • Ability to interpret sales metrics and perform data entry
  • Ability to pay strong attention to detail
  • Ability to multitask and quickly switch focus
  • An understanding of sales principles and customer service practices
  • Excellent time management skills and ability to prioritize work effectively.
  • Must be able to work both individually and in an established team setting
  • Ability to be proactive, flexible, confident, professional, self-motivated and self-directed
  • Proven ability to influence and maintain positive working relationships.
  • Ability to pass a personal background check and/or clearance at time of hire and as required by Customers is required.
  • Must be legally authorized to work in the United States without company sponsorship

Required Competencies

  • Computer literacy: In addition to data entry and typing, Sales Support Specialists need to have knowledge of basic spreadsheet and word processing creation software.
  • Time management and organization: These professionals use a variety of organization methods, including calendar management, to handle multiple projects at one time and completing tasks efficiently and quickly.
  • Customer service: Sales Support Specialists should have strong professional conversation etiquette, especially in person and over the phone when interacting with company representatives, clients and customers.
  • Communication: Clear communication and the ability to explain concepts in simple terms are used to help the customer work through problems and accurately describe products.
  • Problem-solving: These professionals should be able to use critical and creative thinking to identify and resolve issues with products and orders.

Physical Demands

  • Position requires ability to sit, stand and walk for extended periods of time; carrying and lifting items of varying weights (1- 25 lbs.); occasional bending/squatting.
  • Manual dexterity and ability to manipulate small objects is required. Normal range of hearing and vision required.

Work Environment

While performing the duties of this job, the employee is frequently exposed to a variety of different gases, extreme temperatures and moving mechanical parts and vibration. The noise level in the work environment and customer locations may be loud.
