REPORTS TO: Lead Program Specialist

FLSA STATUS: Non-Exempt/Hourly

CLASSIFICATION: Full-Time Regular

APPROVED DATE: 11/30/2023

JOB SUMMARY: Responsible for outreach, recruitment and the initial assessment of applicants for program and determines eligibility for training services.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Engage in outreach activities that will recruit qualified applicants for the program.
  2. Conduct orientation for candidates who are interested in the Youth Services programs.
  3. Collect and gather information and documents relating to eligibility certification according to program requirements and other applicable standards.
  4. Advise customers on rights and responsibilities associated with programs and services.
  5. Verify documentation, complete all pertinent forms and prepares for submission to the Program Manager.
  6. Show interest and concern for all participants, treating them with respect and care.
  7. Enter candidate information in electronic databases, including FileMaker in a timely manner.
  8. Maintain detailed participant records in compliance with policies and procedures.
  9. Maintain organized, efficient, and secure filing system.
  10. Attend community events, career and job fairs to promote Youth Services initiatives.
  1. Establishes and maintains relationships with representatives of the community, educational institutions and other Youth stakeholder groups.
  2. Assists with the implementation of a strategic outreach plan, conducts ground-level community outreach activities and assists in communicating Youth services and program requirements to potential referral sources.
  3. Keeps abreast of referral partner’s satisfaction through follow-up and engagement
  4. Prepares regular written reports of outreach, recruitment and intake activities.
  5. Inputs all recruitment information and programming into youth data systems.
  6. Reports matters of concern to supervisor.
  1. Contributes to the team effort by performing other duties as assigned.

SUPERVISORY RESPONSIBILITIES: NONE

JOB QUALIFICATIONS:

  1. Associate degree preferred; high school diploma or GED certificate required.
  2. Three years of customer service, sales and/or outreach and engagement experience.
  3. General knowledge of outreach and recruitment practices.
  4. Knowledge of or ability to learn data tracking and management information systems.
  5. Excellent written and verbal communications skills, attention to detail.
  6. Interpersonal skills necessary to effectively communicate with staff, participants, and partner agencies.
  7. Must demonstrate strong prioritization and organization on assigned projects.
  8. Ability to input basic data, prepare routine reports, file confidential records correctly, and type materials as requested.
  9. Demonstrate self-motivation, initiative and persistence.
  10. Ability to interact with customers in a positive and productive manner.
  11. Ability to relate sensitively to a multiracial and multicultural group of people.
  12. Bilingual language skills in English/Spanish or English/Arabic preferred.
  13. Must possess a valid Michigan driver's license and have access to reliable transportation in order to travel to off-site locations/events.
  14. Must be willing to work a non-traditional schedule (evenings/weekends).

PHYSICAL REQUIREMENTS: This is a partially active role and the employee must occasionally lift and/or move up to 25 pounds. While performing the duties of this job, the employee is regularly required to walk, sit, and frequently use hands and to talk or hear. Some sedentary work and filing may be required. This would require the ability to sit for extended period of time, lift files, open filing cabinets and bend or stand as necessary.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This job operates in a normal office environment with little discomfort due to noise, dirt, dust and the like. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
