Requirements:


The Administrative Operations Specialist is responsible for administrative and clerical tasks within the center and reports to the Chief Financial Officer. More specific duties will be as follows:

  • Oversee insurance forms and prior authorizations, verifying information with the Medical Director and Director of Nursing
  • Provide support for auditing nurses notes and MARS under guidance of DON
  • Manage all transportation scheduling and communication with internal team and families
  • Adhere to regulations and support compliance processes
  • Support CFO on billing and financial reports as needed
  • Support CFO and Administrator on special projects
  • Oversee team member credentialing and licensing, including managing updates and expirations, and collecting documentation
  • Maintain accurate record keeping and filing with a high level of confidentiality
  • Stay current with medical terminology, coding, and technology
  • Professionally interact through all methods of communications such as by phone, in person, and via email

What We’re Looking For

Must Haves:

  • Experience in a medical office setting with administrative responsibilities
  • Prior experience in a pediatric care setting, highly preferred
  • High level of compassion and empathy to provide patient and family support
  • Knowledge of medical terms, technology, and compliance
  • Solid organizational skills and attention to detail
  • Exceptional interpersonal and communication skills
  • Basic accounting and math skills
