The ideal candidate will also possess excellent office support skills and the ability to contribute to our employee recruitment efforts. This role involves a combination of administrative tasks, coordination, active participation in the recruiting process, basic on-boarding, and providing basic IT support to the team.
Responsibilities:
1. Office Support:
- Provide general administrative support, including managing phone calls, emails, and scheduling appointments.
- Maintain organized and efficient office systems and procedures.
- Assist in the preparation of documents, reports, and presentations.
- Manage office supplies and equipment, ensuring a well-equipped and tidy workspace.
- Verifying appointments and checking for contract accuracy.
- Collaborate with hiring managers to understand staffing needs and requirements.
- Source and screen candidates through various channels, including job boards, social media, and referrals.
- Coordinate and schedule interviews, ensuring a positive candidate experience.
- Conduct initial interviews and assessments to evaluate candidate suitability.
- Assist in the development of job descriptions and posting openings on relevant platforms.
- Facilitate the on-boarding process for new hires, including paperwork, orientation, and training coordination.
- Ensure a smooth transition for new employees into their roles.
- Provide basic IT orientation to new hires, including setting up email accounts and access to necessary tools.
- Offer basic IT support to employees, troubleshooting common hardware and software issues.
- Assist in the setup and maintenance of office computers, printers, and other equipment.
- Maintain accurate and up-to-date records in the applicant tracking system (ATS) and other databases.
- Generate regular reports on recruitment metrics for analysis and improvement.
- Proven experience in office support roles, demonstrating strong organizational and multitasking abilities.
- Basic understanding of IT support, with the ability to troubleshoot simple computer issues and assist coworkers.
- Previous exposure to recruiting or HR functions is highly desirable.
- Excellent communication skills, both written and verbal.
- Proficient in MS Office suite and familiarity with applicant tracking systems.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- High attention to detail and accuracy.
- High school diploma or equivalent; additional relevant qualifications are a plus.
