Assist with the Dock and Door Department's daily operations. Including but not limited to coordinating with the service managers, team leads and customers to schedule service and installation of jobs.

Direct responsibility for managing the office side for the PM Program.


JOB DESCRIPTION

As a Service Coordinator, you will work with clients to provide quality service and to ensure clients get the services they need. There is a heavy customer service basis, as the Service Coordinator is often the initial contact, so having good people skills is a must. You will also need to build strong relationships with our partners and service providers to ensure clients receive the best care possible.


As service coordinator, you will need to have good communication and problem-solving skills. Building partnerships and good relationships with service providers and customers is a must to be successful in this role.


This is an office administrator position that will report directly to the corporate dock and door manager. Main responsibilities will be overseeing all administration duties for the Preventative Maintenance Program. Training will be provided. Being familiar with the day-to-day operations of a fast-paced service business is a plus.

Requirements:

SKILLS/RESPONSIBILITES

• Assess the service needs of customers.

• Create and maintain a database of customers and customer needs.

• Help resolve customer problems over the phone.

• Ensure each customer is given the necessary services and follow up to fulfill ongoing service needs.

• Maintain great relationships with customers.

• Schedule PM's services with customers.

• Add PM's to dispatch calendar as scheduled.

• Open PM work orders as PM's are scheduled.

• Close PM work orders as techs complete jobs.

• Send dispatch email with PM info(# of equipment, customer info, contact info, work order #'s, schedule date) out to Dock & Door Dispatch.

• Assist PM / Service techs as needed.

• Enter job notes into the computer system for quoting, billing, and customer follow up.

• Assist with quotes as needed.

• Send out service calls as needed.

• Run monthly PM reports.

• Add PM tech time to work orders.

• Must be well organized and self-motivated.

• Ability to manage your time and workload effectively daily.

• Ability to forecast and schedule jobs several months out at a time.

Be a team player and help other team members as needed.


WORK EXPERIENCE REQUIREMENTS

· 1-3 years' experience in a customer service-related field required.

· Previous administrative experience preferred.

· Proficient in Microsoft Office, including Microsoft Word and Microsoft Excel.

· Excellent Customer Service and Problem-Solving Skills.

· Excellent organizational skills.

· Excellent verbal and written communication skills.

· Excellent critical thinking and problem solving skills.


EDUCATION/CERTIFICATION/LICENSE REQUIREMENTS

High School Diploma

Secondary Education Preferred


WORK CONDITIONS/PHYSICAL DEMANDS


This position is in an office setting where the noise level is generally quiet to sometimes moderate if working near the shop area. Employee is occasionally required to stand; walk; sit; and reach with hands and arms. Employee must have normal manual dexterity and be able to effectively manipulate keyboard and phone. Specific vision abilities required by this job includes close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
