Job Overview

POSITION SUMMARY

The role of the Service Operations Coordinator involves supporting the daily functions of the Dock and Door Department. This includes collaborating with service managers, team leaders, and clients to effectively schedule service and installation tasks.

The coordinator will be primarily responsible for overseeing the administrative aspects of the Preventative Maintenance Program.

ROLE RESPONSIBILITIES

As a Service Operations Coordinator, your focus will be on delivering exceptional service to clients and ensuring their needs are met. This position requires strong customer service skills, as you will often be the first point of contact for clients. Building and maintaining positive relationships with partners and service providers is essential to guarantee the highest level of service.

Key responsibilities include:

  • Evaluating customer service requirements.
  • Creating and updating a comprehensive database of customer information and needs.
  • Resolving customer inquiries and issues via phone.
  • Ensuring clients receive the necessary services and following up on ongoing service requirements.
  • Maintaining strong relationships with clients.
  • Coordinating Preventative Maintenance schedules with customers.
  • Updating the dispatch calendar with scheduled services.
  • Opening and closing work orders as services are performed.
  • Sending detailed dispatch information to the relevant teams.
  • Providing assistance to service technicians as required.
  • Documenting job notes for quoting, billing, and follow-up purposes.
  • Generating monthly reports on Preventative Maintenance activities.
  • Managing time and workload efficiently on a daily basis.

QUALIFICATIONS

To succeed in this role, candidates should possess:

  • 1-3 years of experience in a customer service-oriented position.
  • Previous administrative experience is preferred.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Excellent customer service and problem-solving abilities.
  • Strong organizational skills and attention to detail.
  • Effective verbal and written communication skills.
  • Critical thinking capabilities.

EDUCATION REQUIREMENTS

A High School Diploma is required, with secondary education preferred.

WORK ENVIRONMENT

This position is primarily office-based, with a generally quiet atmosphere, occasionally moderate noise levels near the service area. Employees may need to stand, walk, sit, and reach as part of their daily activities. Normal manual dexterity is required to operate a keyboard and phone effectively.
