SUMMARY:

Under the direction of the Customer Service and Outreach Manager, Family Resources, the Receptionist greets and assists all inquiries either in person or on the telephone. The Receptionist is responsible for managing the front desk and providing clerical and administrative support to the Family Resources Department. All work to be completed with minimum supervision and in accordance with Organizational standards.

This incumbent will be expected to promote and adhere to the workplace core capabilities of: accountability, customer focus, continuous quality improvement (CQI), communication, competent people and clear priorities. All work to be completed in accordance with organizational standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. The organization reserves the right to add to, delete, change, or modify the essential duties and responsibilities at any time.

  1. Receive clients and visitors in a pleasant manner. Answer front desk calls by the third ring and respond accurately and politely to client inquiries. Provide CCAP forms to walk- in applicants. Secure information necessary to direct visitors or callers to appropriate staff or service.
  2. Perform administrative duties as assigned: typing correspondence, drafts, data entry, faxing, copying, and reports etc. Monitor daily count of walk-in clients including children and entering data in spreadsheet daily.
  3. Receive and enter conference room requests on Conference Room Calendar.
  4. Ensure trays at receptionist desk are filled with program forms and all appropriate literature is visible and available to visitors.
  5. Provide access to building areas as appropriate.
  6. Receive, sort, and distribute all incoming mail from U.S. Post Office and courier services, daily, in a timely manner. Contact the appropriate department.
  7. Execute our workplace core capabilities of: accountability, customer focus, continuous quality improvement (CQI), communication, competent people and clear priorities.
  8. Other Functions: The Organization may assign other functions to the job at its discretion.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED). Two years related experience in an office environment.

OTHER SKILLS AND ABILITIES:

  • Bilingual English-Spanish required.
  • Human relations skills to deal effectively with staff, visitors, and customers in person and on the telephone.
  • Ability to project a positive and professional image to the public, clients, and Agency’s employees.
  • Ability to demonstrate good organizational and communication skills.
  • Ability to work well with others, and to assist the public cooperatively and courteously must be patient, work well under pressure and with a diverse group of people.
