POSITION SUMMARY:

Reporting to the Customer Service and Outreach Manager within the Family Resources Department, the Receptionist is responsible for warmly welcoming and assisting all inquiries, whether in person or via telephone. This role entails managing the front desk and providing essential clerical and administrative support to the Family Resources Department, all while adhering to organizational standards with minimal supervision.

The successful candidate will embody and promote our core workplace values, including accountability, customer focus, continuous quality improvement (CQI), effective communication, competent personnel, and clear priorities. All tasks should be executed in alignment with organizational standards.

KEY RESPONSIBILITIES:

  1. Greet clients and visitors with a friendly demeanor. Answer front desk calls promptly and respond accurately and courteously to inquiries. Provide necessary forms to walk-in applicants and gather information to direct visitors or callers to the appropriate staff or services.
  2. Perform assigned administrative tasks, including typing correspondence, data entry, faxing, copying, and report generation. Maintain a daily log of walk-in clients and children, entering data into a spreadsheet.
  3. Manage conference room requests and maintain the Conference Room Calendar.
  4. Ensure that the reception area is stocked with program forms and relevant literature for visitors.
  5. Facilitate access to building areas as required.
  6. Sort and distribute all incoming mail from postal and courier services in a timely manner.
  7. Demonstrate our core workplace values through all interactions and tasks.
  8. Other duties may be assigned at the organization's discretion.

QUALIFICATIONS:

To be successful in this role, candidates must meet the following qualifications:

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent (GED) is required, along with two years of relevant experience in an office setting.

SKILLS AND ABILITIES:

  • Bilingual proficiency in English and Spanish is required.
  • Strong interpersonal skills to effectively engage with staff, visitors, and clients both in person and over the phone.
  • Ability to present a positive and professional image to the public, clients, and agency employees.
  • Demonstrated organizational and communication skills.
  • Ability to work collaboratively with others and assist the public in a courteous and patient manner, especially under pressure and with diverse populations.
