Schedule: Monday to Friday, from 8:30 am to 5:00 pm.

Job summary
We are seeking a skilled Bilingual Administrative Office Assistant with a focus on Project Management Office to join our team. The ideal candidate will be proficient in both English and Spanish, possessing strong organizational and communication skills. As a key member of our administrative team, you will play a crucial role in supporting our PMO team and ensuring smooth office operations.
Minimum Requirements
High school diploma or equivalent; additional education or training is a plus.
2 or more years of customer service experience, preferably in a call center.
Tool and equipment inventory experience is preferred.
Construction experience is preferred.
Familiarity with computer systems (MS Office, including Word, Excel, and Outlook, Hilti tools is a plus), which includes the ability to learn new and complex computer systems.
Ability to work in a fast-paced environment, to manage high pressure situations, and to be flexible and adaptable when a situation requires it.
Demonstrates effective written and verbal communication in English and Spanish.
Strong organizational and time management skills.
While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms. Lifting from 10lbs to 50lbs.
Qualifications.
Communication: Serve as a point of contact between the field team, clients, and the office staff. Facilitate communication and information flow.
Documentation: Maintain and organize field documentation, reports, and records.
Data Entry: Accurately input data into our systems and databases.
Compliance: Ensure that field operations adhere to company policies and industry regulations.
Inventory Management: Track and manage inventory and supply related to field operations (Tools, machinery, equipment, and tool room).
PMO Assistance: Customer service, administrative support, inventory management, among others.
Reporting: Generate regular reports, and track operation status. Update, control, track and present data (clearly and accurately).
Key responsibilities:
Excellent customer service (processing requests via telephone, chat and/or email)
Data Entry and Reporting.
Documentation and Record Keeping
Conflict Resolution.
Front desk of support
Equipment, tools, material, and supplies support.
Inventory Management
Entering PO’s / Closing PO’s
Payments and tracking on company vehicle toll violations and toll accounts.
Assisting colleagues with administrative tasks.
Administrative Support
General Office and field Support.
PMO Support including job profitability.
An Administrative Office Assistant is an essential link between the field team and the central office, contributing to the efficient and effective execution of field operations.
