POSITION PURPOSE:

The Bilingual Sales Support & Project Coordinator is responsible for assisting the sales teams and the General Manager by managing claims/jobs from initial intake to completion. This role requires proficiency in Salesforce, a deep understanding of sales processes, a sense of urgency, and the ability to assist with RFPs and Accounts Receivable (excluding collections). The ideal candidate is adaptable, able to pivot quickly between multiple projects, and deliver exceptional customer service.

RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS:

Responsibilities:

  • Support new job lead intake and forward jobs to RM/Lead PD
  • Provide excellent customer service by answering phones and responding to customer requests
  • Assist with customer setup in the company's ERP platform
  • Manage job files, including production and updates
  • Prepare customer contracts and scan signed documents to the shared drive
  • Maintain and update insurance program files as requested
  • Assist with processing billing and credits
  • Order environmental testing and associated equipment
  • Assist with Accounts Receivable duties, excluding collections
  • Code A/R checks received
  • Participate in weekly production meetings and update participants on contracts and budgets for new jobs in the ERP system
  • Coordinate and book travel arrangements for staff
  • Perform ad hoc duties as required by the General Manager

QUALIFICATIONS:

Technical Qualifications:

  • Proficiency in Salesforce and other CRM tools
  • Ability to organize, plan, and prioritize work effectively
  • Proficient in MS Word, Excel, MS Project, and Outlook
  • Knowledge of industry policies and procedures
  • Understanding of budgeting and cost control
  • Ability to set and monitor goals

Behavioral Qualifications:

  • Excellent verbal and written communication skills
  • Ability to represent the company professionally with clients, subcontractors, and in-house staff
  • High standards of professional conduct
  • Strong problem-solving capabilities

Experience:

  • Minimum of 2-5 years in project coordinating or claim handling within the restoration/construction industry

Preferences:

  • High School Diploma or equivalent

SPECIAL POSITION REQUIREMENTS:

  • Availability for emergency work after hours and on weekends (24/7 operation)

WORK REQUIREMENTS:

  • Frequent deskbound work requiring the use of telephones, computers, and a mouse
  • Regularly lift and/or move up to 25 pounds for at least 100 feet; occasionally lift more than 25 pounds for at least 100 feet with assistance
  • Physical abilities to walk, stand, sit, use hands to finger/pinch/grip, handle/feel objects, reach with hands and arms, climb and balance, stoop, kneel, crouch, crawl, see, and hear
