Essential duties and responsibilities

We are seeking an organized and detail-oriented Engineer Admin Assistant to support our Engineering Department. The successful candidate will facilitate onboarding and offboarding processes, manage training programs, and oversee various administrative tasks to ensure smooth operations within the department.

Key Responsibilities:

Onboarding/Offboarding:

  • Facilitate onboarding checklist for new hires.
  • Manage uniforms distribution.
  • Set up training schedules and materials.
  • Follow up on progress reports for new employees.

Engineering Department Training Administration:

  • Track and schedule all technicians (CSCC, Coc, RTC, ML, etc.).
  • Develop qualification and certification standards.
  • Write and track change notifications for new tunnel equipment and other changes.
  • Coordinate new or revised training materials.
  • Write, publish, and track departmental procedures, including annual reviews.

Administrative Tasks:

  • Manage service requests, credit card coding, hourly program, tank cleaning, and service manual updates.
  • Assemble and publish the Engineering Department monthly report.
  • Gather KPIs from Service, IT, Project, Facility, and Warehouse teams for reporting.
  • Assemble technician performance data for evaluations.
  • Conduct weekly reviews of technician metrics to identify red flags.
  • Administer the Engineering Department Monday board and weekly tasking.
  • Review credit card transactions.
  • Review Washflow EWC RFI.
  • Correct timecards as needed.
  • Follow up on project progress.
  • Coordinate with facility vendors (Facility Assistant role).

Qualifications:

  • Proven experience in an administrative role, preferably within an engineering or technical department.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to manage multiple tasks and priorities effectively.
  • Detail-oriented with strong analytical skills.
  • Ability to work independently and as part of a team.
