The Operations Supervisor supports the Property Manager in overseeing the daily operations of the community, focusing on financial management and tenant relations. This role also encompasses performing the duties of the Property Manager when they are unavailable.

KEY RESPONSIBILITIES
  • Foster Relationships: Build and maintain positive interactions with residents, potential tenants, and service providers.
  • Financial Oversight: Manage Accounts Receivable, process resident payments, conduct daily bank deposits, and follow up on outstanding balances through calls and correspondence.
  • Data Management: Ensure accurate and up-to-date information in property management software, documenting daily activities such as tenant movements and lease updates.
  • Lease Administration: Oversee the lease renewal process, preparing necessary documentation and ensuring timely communication with residents regarding lease expirations.
  • Correspondence Generation: Create and send various communications to residents and vendors, including notices and updates.
  • Move-Out Inspections: Conduct timely assessments of vacated units to document any charges prior to returning security deposits.
  • Security Deposit Management: Calculate and process security deposit refunds, ensuring compliance with applicable regulations.
  • Reporting: Compile and reconcile monthly financial reports generated by the property management system.
  • Collection Policy Management: Maintain a policy for collecting outstanding balances from former residents and report on collection status.
  • Marketing Support: Assist in promoting long-term vacant units through effective marketing strategies.
  • Eviction Assistance: Support the Property Manager in the eviction process, adhering to legal requirements.
  • Property Condition Monitoring: Report any maintenance or safety concerns to the appropriate personnel.
  • Fair Housing Compliance: Uphold policies related to fair housing practices.
  • Professional Communication: Engage with colleagues, management, residents, and vendors in a courteous and professional manner.
  • Confidentiality Maintenance: Protect the privacy of all stakeholders, including residents and vendors.
  • Leasing Support: Perform leasing duties as needed in the absence of the Leasing Consultant.
  • Event Planning: Collaborate with management to organize and implement community events.
  • Administrative Duties: Handle general office tasks such as answering phones, managing service requests, and maintaining office supplies.
  • Invoice Preparation: Prepare invoices for approval when the Property Manager is unavailable.
  • Additional Responsibilities: Carry out other reasonable tasks as assigned by the Property Manager or higher management.
  • Leasing Performance Monitoring: Assess the performance of leasing staff and report any concerns to the Property Manager.
