Reports to: Garage Manager

Summary: Under basic supervision, performs a variety of responsible clerical, support, and customer service duties, using the knowledge of the Equipment Services operations and the Policies and Procedures of the City of Odessa.

Essential Functions: -- Essential duties and responsibilities may include, but are not limited to, the following:

  • Performs clerical and support functions to the Equipment Services Department.
  • Operates personal computer; thoroughly understands the functions of required data entry formats.
  • Enters and retrieves data from a variety of vendors; maintains a high degree of accuracy in data entry.
  • Maintains confidentiality and integrity of data viewed.
  • Files all completed paperwork and all reports in an accurate and timely manner.
  • Effectively works with the public and fellow employees.
  • Maintains productivity and efficiency while performing repetitive data entry.
  • Assists with processing various forms and documents, handles the distribution of office incoming and outgoing mail.
  • Answers telephone and directs calls when required.
  • Performs backup duties in the absence of the Sr. Administrative Assistant.
  • Supports the departmental operations with regular and timely attendance.
  • Supports the relationship between the City of Odessa and the public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information.
  • Performs other duties as required or assigned.

Minimum Qualifications:

Education, Training and Experience Guidelines: High School Diploma or GED required. Minimum one (1) year customer service and clerical experience with data entry.

Knowledge of:

  • Customer Service

Ability to:

  • Read and comprehend instructions, correspondence, and memos.
  • Choose the right mathematical methods or formulas to solve a problem.
  • Apply common sense understanding to carry out detailed and involved written or oral instructions; ability to deal with problems involving a few concrete variables in standardized situations.
  • Communicate effectively verbally and in writing as appropriate for the needs of the audience; the ability to give full attention to what other people are saying, taking time to understand points being made, asking questions as appropriate and not interrupting at inappropriate times.
  • Establish and maintain effective working relationship with co-workers, subordinates, supervisors, and the public.

Skill in:

  • Skill in operating office equipment and entering a variety of data using Microsoft products.
  • Communication

License and certification requirements: A valid Texas State Driver's License is required.

Physical demands and working environment: Most work is performed in a standard office environment. The physical and work environment demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to sit; use hands to operate equipment, handle or feel; reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.

While mostly performed in a standard office environment, this job occasionally requires exposure to outside weather conditions. The noise level in the work environment is usually quiet.
