Position Summary: The Mortgage Broker Assistant will work closely with mortgage brokers to manage the administrative aspects of the mortgage process. This role involves client communication, document preparation, and coordination with lenders and other stakeholders. The ideal candidate will have excellent organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities:

  • Assist mortgage brokers in collecting, organizing, and reviewing client documentation, including income statements, credit reports, and property details.
  • Prepare, review, and submit loan applications to lenders, ensuring accuracy and completeness.
  • Communicate with clients to gather required documents, answer questions, and provide updates on their mortgage application status.
  • Coordinate with lenders, appraisers, and title companies to facilitate the timely processing of loan applications.
  • Maintain and update client files and records in the brokerage’s database, ensuring data accuracy and security.
  • Schedule and confirm appointments for mortgage brokers, including meetings with clients and property inspections.
  • Draft and distribute correspondence, such as emails, letters, and loan disclosures, on behalf of the mortgage brokers.
  • Assist in preparing mortgage-related documents, including pre-qualification and commitment letters.
  • Perform general administrative tasks, such as managing phone calls, emails, and office mail.
  • Stay informed about mortgage products, interest rates, and industry regulations to support brokers and clients effectively.

Qualifications:

  • High school diploma or equivalent; additional education in finance, real estate, or a related field is preferred.
  • Previous experience in a mortgage, real estate, or financial services role is an advantage.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with mortgage software (e.g., Encompass, Calyx Point) is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and work effectively in a fast-paced environment.
  • Knowledge of mortgage industry practices and regulations is desirable.
