The Toys for Trucks Administrative Assistant will be a supportive force to the VP of Retail Operations with various administrative tasks to assist in the success of various retail shop locations across multiple states. This role requires a highly motivated, proactive problem solver with exceptional communication skills and meticulous attention to detail.

The Administrative Assistant must be able to provide support to senior leadership, perform administrative tasks and prepare reports, and have experience working in a fast-paced office environment.

We are looking for a go-getter with attention to detail, strong ability to adapt, and driven to succeed. The perfect candidate will be accustomed to flexibility and consistency while maintaining the confidentiality of high-level systems and operations.

This role is Monday to Friday, with few weekend requirements allowing for work/life balance.


Responsibilities.

  • Prepare and type documents (presentations, itineraries, sales sheets), as well as administrative duties such as processing/tracking expenses
  • Clearly communicate and follow up on priorities
  • Manage calendars and scheduling for the VP of Retail Ops including meeting agendas, emails, phone calls, client management, and other company logistics
  • Drive accountability within executive team as a whole
  • Create and manage reports/spreadsheets
  • Perform office duties such as ordering supplies, managing records, and general office clean up as necessary
  • Serve as customer concierge to greet office guests and ensure meeting spaces are ready via booking, light cleaning, and organization as needed
  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, lodging and meeting accommodations
  • Organize aspects for offsite conferences, car shows, and other external events; including catering, set up, and transportation
  • Attend weekly team conference call that focuses on learning, sharing and clear goal setting
  • Assist in planning events, meetings, and employee team building activities or special projects
  • Attend weekly business review call with VP of Retail Ops and take meticulous notes
  • Effectively collaborate with the VP of Retail Ops, Retail Operations Manager, and other members of the leadership team
  • Assist in completing monthly store audits to ensure teams are running stores the TFT way
  • Maintain a strong relationship with manufacturers reps and grows product knowledge
  • Proactively identify any gaps and areas of improvement within the company and take appropriate action to resolve them


Requirements & Qualifications.

  • 2+ years' experience as an administrative assistant supporting senior level management with a proven track record of driving results and building high performance
  • Automotive industry experience a plus
  • Organizational management skills in a fast-paced work environment
  • Strong sense of loyalty and high level of discretion highly valued
  • Professional demeanor, positive outlook and a can-do attitude
  • Sound understanding of store operations and high standards for success
  • Strong written, verbal, and non-verbal communication skills
  • Ability to build strong and successful relationships
  • Excellent problem-solving skills
  • Ability to travel with reliable transportation
  • Able to work independently and collaboratively
  • Knowledge of NetSuite and Microsoft Office
  • Maintain a polished and professional company image
  • High School diploma or equivalent minimum; associate or bachelor's degree (a plus)
  • Possess valid driver's license and vehicle insurance
  • Ability to work Monday - Friday
  • Can stand for long periods of time, lift to 40 lbs

Compensation.
Base Salary: $17-$24/hour depending on experience
