Job Description

The Office Manager will play a crucial role in ensuring the smooth and efficient operation of the school’s administrative functions. This individual will manage the front office, support the administrative team, and contribute to creating a welcoming environment for students, families, staff, and visitors.

Responsibilities:

Administrative Support:

  • Manage the day-to-day administrative tasks, including phone calls, emails, and visitors to the school office with both internal and external communications that maintain a positive and professional image

  • Maintain and organize files, records, and documents such as employee attendnace records, ensuring confidentiality and compliance with all relevant policies and regulations.

  • Supervise and coordinate overall administrative activities for the school. Assist with scheduling appointments, meetings, and events for school staff and parents.

  • Order and maintain office supplies, equipment, and materials as needed.

  • Supervising the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

  • Assist Operations Team with bus transportation needs including, but not limited to communicating daily changes and updates, navigating scholar bus records. as well as ability to inform guardians of available bus routes for scholars.

  • Participating, as needed, in special projects.

Student and Parent Support:

  • Greet and assist students, parents, and visitors with a friendly and professional demeanor.

  • Coordinate and maintain student attendance records, helping to ensure accurate daily attendance taking.

  • Manage student information, including enrollment and withdrawal processes.

  • Assist with school communication to parents, including newsletters, updates, and announcements.

Financial and Budget Support:

  • Assist in managing the school's budget and financial transactions, including handling student payments within the Student Activity Fund and maintaining accurate records.

  • Process purchase orders, invoices, and reimbursements as necessary.

  • Assist in the preparation of financial reports and documentation for audits and compliance.

Health and Safety:

  • Support the school's health and safety procedures by maintaining records of student health information and emergency contact details.

  • Coordinate with school nurses and emergency response personnel as needed.

Qualifications

  • High school diploma or equivalent required; Bachelor's degree preferred.

  • 3 years of experience or more in office management, school administration, or a related field is highly desirable.

  • Excellent organizational and multitasking skills.

  • Strong communication and interpersonal abilities.

  • Proficiency in Microsoft Office applications and other relevant software.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Successful completion of State and Federal Criminal Background Check

Physical Demands: 
The physical demands and environmental conditions described below are representative, but not exhaustive,  of those that must be met by an employee to successfully perform the essential functions of the role.  All of these physical requirements should be able to be performed with clarity, coherence and connectedness of the KNOS vision, and reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.

  • Must be able to sit and work at a desk/computer for extended periods of time

  • Must be able to spend the majority of the day standing or mobile throughout the school building, as well as talk, hear, grasp, reach and lift up to 30lbs with or without accommodations

  • Ability to concentrate in active and noisy environments such as cafeterias and playgrounds, to more moderate situations such as classrooms or large group professional settings

  • Must be able to have repetitive wrist/hand/finger movement to work on computer and/or related office equipment

  • Ability to handle potential high stress conditions
