THE ROLE

The Administration Specialist is responsible for performing a variety of administrative and specialized work for various City projects while primarily supporting the overall Administration department, with additional support provided for the Parks and Recreation and Senior Center teams. The individual in this role has the opportunity to support City initiatives and projects with a focus on keeping residents, employees, and the larger community engaged and informed.

  • Performs various support and administrative duties to include greeting the public at the front counter, on-site event or project support, database management, managing software program accounts, reporting and analytics, maintaining program supplies and materials, arranges and prepares facility usage requests, and filing.
  • Assists with the coordination of diversified year-round, City-wide park and recreation programs, rentals, and various special events; Promotes interest in park and recreation programs through publicity, the creation of joint program brochures with various community groups, and the creation of various signage.
  • Assists with agendas, meeting packets, minutes for Parks and Recreation and Commission on Aging meetings.
  • Processes program registrations, enters participant data, collects and processes registration fees, and prepares daily deposits and reports of account activities.
  • Conducts basic financial operations for the department to include recording and processing reservation and programming payments, Pirates’ Hollow Community Waterpark fees, concession fees, ticket sales, and community donations; Assists with the tracking of purchase orders and invoices.
  • Manages the department’s social media platforms to include Facebook, Twitter, Instagram; Maintains the department’s page on the City’s website.
  • Other responsibilities as assigned.
Requirements:

QUALIFICATIONS

What does it take to succeed in this role? We’re looking for a motivated individual with strong project management skills and a willingness to learn. You should also have:

  • High school diploma or GED. Associates degree or higher in Communications, Public Administration or similar preferred.
  • Two (2) or more years of experience in a business office setting with experience in recreation programming preferred.
  • Valid Wisconsin driver's license.
  • Previous experience with Granicus website host, Constant Contact, Canva Pro, or similar communications/digital marketing platforms preferred.
  • Previous experience with RecDesk or similar reservation-based software preferred.
