Job Summary

The Administrative Assistant III at DuraServ reports to the Executive Assistant and supports the Executive Leadership team. This role is crucial for maintaining day-to-day operations and thrives in high-pressure environments, meeting high standards and expectations. Responsibilities include maintaining schedules, bookkeeping, written correspondence, emailing, and managing special projects.


Essential Functions

  1. Communicate and coordinate effectively with Executive Leadership.
  2. Manage calendars and schedule appointments efficiently.
  3. Monitor and respond to executive emails and other communications while upholding confidentiality and sensitive information.
  4. Manage expense reports and other financial documentation for executives.
  5. Prepare meeting agendas, take minutes, and follow up on action items.
  6. Draft, proofread, and edit correspondence, reports, and presentations.
  7. Coordinate travel arrangements, including flights, accommodations, and itineraries.
  8. Provide support for special projects as needed, ensuring timely and accurate completion.
  9. Serve as a liaison between executives and other departments, facilitating communication and collaboration.
  10. Assist in the preparation and execution of company events and meetings.
  11. Perform other duties as assigned.

  • (K) Proficiency with the full suite of Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and ability to quickly learn new software tools.

  • (A) Proven ability to manage multiple priorities in a fast-paced environment.

Education and Experience

  • High School graduation or equivalent is required, Associate or bachelor’s degree, preferred
  • Combined experience in Administrative Assistance roles of three to five or more years, required
  • Proficiency in Microsoft Office 365, Microsoft Excel, Microsoft Word, Microsoft Pptx. etc.
