Case Intake Coordinator

The full-time Case Intake Coordinator (CIC) is professional, highly visible member of the CASA team, who provides support to our CASAs and youth in foster care. Working closely with the case supervisor team, the CIC will be responsible for the intake, assessment, and preparation of new youth cases referred to the CASA program., and the maintenance and accuracy of the waitlist. The CIC will be engaging directly with court partners and youth to thoroughly assess youth needs and the CASA program’s ability to serve them. The CIC will be responsible for responding to front office phones, providing program information directly or forwarding calls to appropriate staff members. Additionally, the CIC will assist in the overall support of the case supervisors, peer coordinators and volunteer advocates, providing guidance to program associates and participating in CASA fundraising events as needed. The CIC is responsible for administration of sensitive, confidential program materials and documents. There’s the opportunity to represent CASA at local committee meetings and collaborative partnerships in the child welfare system. The CIC will work as part of a dynamic team of staff and volunteers to support the mission of CASA Sacramento and our work on behalf of local foster youth through various initiatives. Previous experience working with youth and other vulnerable/at-risk populations required.
This mid-level position with the CASA organization provides an opportunity to learn the inside and out of the juvenile dependency and juvenile justice court systems while supporting CASA volunteers and staff. Exposure to community partners, case planning/case management, juvenile court proceedings, and various committees related to CASA’s work in support of foster youth are components of professional development within this role.
Essential Responsibilities:Case Intake and Waitlist Management- Receive, research and prepare incoming referrals and maintain the child waitlist. Interact with child welfare and juvenile court partners to complete intake process and assess needs (in partnership with case supervisors) of youth/Non-Minor Dependents referred to program.
- Engage with Transition Age Youth (TAY), ages 13-20 years old, to introduce the CASA program and services provided, answer any questions and gauge youth’s interest in being matched with an advocate.
- Accountable for timely, thorough, and accurate preparation of all referrals.
- When appropriate, attend court hearings for waiting youth, to obtain relevant updates, and/or coordinate with case supervisors who may be in attendance.
- Support advocacy team of case supervisors through office functions such as: maintenance of case record and corresponding filing systems. Provides general support services, telephone answering and photocopying as needed.
- Assist in providing guidance/training to program associates on general office procedures and support services for advocacy team.
- Provide input on new youth cases for CASA/child or NMD matches. Learn about incoming volunteers and actively partner with case supervisors to ensure thoughtful and appropriate youth centered recommendations are provided.
- Complete data entry and keep the waitlist database up-to-date and accurate in support of the CASA program and its volunteers, youth’s cases and related administration.
- Assist management with other projects as assigned.
- Assure confidentiality in all assigned activities.
- Provide management & other staff with statistics and documentation of program activities as required.
- Serve as the main public phone contact for the program and offers support and direction to appropriate CASA staff and/or community resources.
- Perform other duties as required.
- Attend all-staff meetings, program team meetings and volunteer matching meetings to present waitlist updates and actively collaborate with case supervisors.
- Support and potentially help coordinate quarterly youth/CASA events.
- Assist with outreach, fundraising and volunteer appreciation events as needed.
- Attend Staff Development Trainings as available.
- Perform other duties as assigned by the Program Director and/or Associate Director.
● Bachelor’s degree required
● 2 years recent experience in an office setting.
● 1 year experience in a social service, non-profit or court related programs.
● Case management experience a plus.
● Experience and knowledge of general office practices and procedures.
● Competent in the use of computers, Word/Office Suite, internet and data entry.
● Bilingual and/or lived experience a plus.
● Professional maturity & ability to foster positive relationships with a diverse array of individuals.
● Outstanding communication and relationship skills.
● Ability to work well with a supervisory team comprised of professional staff and volunteers.
● Ability to maintain confidentiality and discretion in communication.
● Ability to multi-task, manage deadlines and review/understand court documents
● Must pass a background check in accordance with California Rule of Court 5.655.
o DOJ/FBI/CACI/DMV and Megan’s Law background checks required.
Other Requirements:- Candidates must be able to occasionally work evenings or weekends (example: events, training).
- Hybrid position – New hires eligible for hybrid work after 3 week in-office training/onboarding complete. (Tuesdays & Thursdays per week in the office required).
- Must complete 40 hours of CASA training within 90 days of hire. (This requirement may be waived if already completed the training/served as a CASA volunteer in Sacramento).
- 6-month introductory period.
- Ability to lift 20 lbs throughout the day and be able to sit or stand for long periods of time.
Compensation and Benefits:
- Full-time position working 40 hours per week, $25.00 to $26.00 per hour DOE.
- Eligible for participation of benefits package including partial coverage for health, dental & vision insurance; 403(b) retirement plan, holiday & paid time off (after 60 days of employment).
