Client Servicing Coordinator
Summary of Responsibilities
As part of the firm’s Client Servicing Team, the Client Servicing Coordinator provides client-related support and hospitality, in addition to coordination of office facilities. This role is based on our Northfield office and serves as the first colleague to greet clients and guests in-person, and by phone. The Coordinator is also responsible for communication with clients to schedule meetings. In addition, this role ensures smooth and efficient office operations, such as coordinating building maintenance and managing office inventory and supplies.

Essential Functions
- Manages the office reception area and meets and greets all visitors, including clients, prospective clients, vendors, and delivery personnel. Helps to ensure that all guests are made to feel welcome and that all visits are handled with utmost professionalism.
- Serves as the firm’s primary contact for all incoming phone calls. Answers, screens, and directs phone calls in a timely manner, assisting clients directly when possible. Ensures phone coverage for all of CCM’s core business hours of 8:00 a.m. to 5:00 p.m.
- Schedules client and prospective client meetings for our Advisory and Tax Teams, recording all activities accurately and in a timely fashion to the firm’s client relationship management database, Salesforce.
- Coordinates, schedules, and proactively manages building and office maintenance. Works with third-party vendors as needed to keep the office running smoothly.
- Assists with preparation for client meetings and the coordination of meeting rooms.
- Provides client hospitality and serves the hospitality needs of the office, including small colleague gathering meal coordination as needed.
- Manages the inventory of all supplies and reorders as appropriate.
- Opens and sorts all incoming mail and deliveries.
- Handles the flow of client documentation via a courier, as needed, especially during tax season.
- Provides correspondence support to colleagues and general support as requested by senior leadership.
- Serves as a backup to Client Service Representatives.
Qualifications & Requirements
- Prior, proven experience in providing superior client service, preferably within a financial services environment or similar professional setting.
- Experience with client-specific, proprietary, and confidential correspondence is strongly preferred.
- Intermediate or better proficiency with MS Office software products is required.
- Possession of excellent problem-solving skills is required.
- Experience with client relationship management database(s) is preferred.
- Proven ability to be detail oriented, accurate, and adaptable is required.
- Strong verbal and electronic communication proficiency is required.
- Flexibility to travel to one of our offices in Bloomington/Rochester/Hastings, as needed.
