Job DescriptionJob Description

The Senior Manager of Awards will report to the VP of Awards and Awards Director and be responsible for providing general awards support. This includes project and timeline management, scheduling meetings, booking travel for committee members, event production, managing awards communications, providing support for stage shows, screening entries, managing data entry, and analyzing and creating annual Awards recipient reports. The Senior Manager of Awards will supervise an Awards Coordinator and will work in concert with the departments other Manager where there is overlap (data management, stage show elements).

Responsibilities

Responsibilities include but are not limited to:

Meetings/Events/Hospitality

  • Manage all hospitality for in-person committee meetings including hotel research, negotiations of rates, contracts, BEOs, and A/V.
  • Travel planning including coordination with organization's corporate traveler; communications with committees on requirements.
  • Manage Awards Team and facilitate subcommittees' travel (for meetings that are both local and those that require long-distance travel).
  • Write and/or update all travel-related communications, ensuring time is built-in for edits, reviews and approvals, working closely with Awards Director, Manager and the Finance department
  • Write and update reminders, disseminate them to committees, follow up and ensure all details have been addressed.
  • Order and organize all food and beverage, working within approved budget.

Event /Show Production

STAGE SHOW

  • Review all Run of Shows for 3 – 4 ceremonies and provide comments/recommendations for VP of Awards and Director to review.
  • Lead the review and research of pronunciations of nominee/winner names; create guidelines for ceremonies/events and script.
  • Review scripts for accuracy of category inclusion and announcement.
  • Write or update all correspondence to award recipients (semifinalists, nominees, honorees, winners), and coordinate with multiple JBF stakeholders/departments and production teams to ensure their review and inputs.
  • Track and report on required surveys, information, photos, and videos.
  • Participate in proofing signage and marketing pieces.

AWARDS WEEKEND PRODUCTION

  • Organize and execute additional Awards events aligned with JBF mission or key areas of focus, including: committee and judge meet-ups and panel discussions with nominees and previous winners.
    • Liaise with multiple departments, external partners and stakeholders in planning and providing details
  • Create and update correspondence and related documents including, fact sheets and for signage and marketing materials.
  • Keep track of invitations, confirmations, follow-ups, etc., with participants. Act as a liaison with the venue and organize product donations
  • Provide lead-up and onsite planning and support for the Awards weekend check-in and back-stage

MARKETING / PR

  • Prepare release bullet points and review releases.
  • Collect, track and manage required production-related release documents

Budget Management

  • Support VP and Director with budget management as needed.
  • Supervise team member working on management of stipends, honorarium and payment processes
