Venesco, LLC is recruiting for a Medical Support Assistant/Scheduler to provide services via telehealth to beneficiaries of the Department of Veterans Affairs (VA) and the National TeleOncology program currently servicing 96 care sites across the VA healthcare enterprise.

Contractor shall furnish services virtually via telehealth. VA’s National TeleOncology Service is hubbed at the Durham VA Healthcare System in Durham, NC.


Hours: 8:00 a.m. to 4:30 p.m. Monday through Friday.


Duties include:


1. Scheduling timeliness: Staff scheduling action shall be attempted within three (3) business days of receipt of order from the provider.

2. Scheduling Productivity: Staff scheduling actions shall consist of 20 actions per day. Clinics may vary. Administrative note documentation: Consult, administrative, no-show, unable to reach note correctness and appropriateness. Appointments will be resolved in 2 business days if a no show or cancellation.

3. Customer Service: Staff shall consistently demonstrate Integrity, Commitment, Advocacy, Respect, and Excellence (ICARE) values.

4. Privacy and confidentiality: Staff shall maintain privacy and confidentiality for patients, families, medical records, and electronic information by following policy and procedures and all regulations on confidentiality of information.

5. Safeguards medical records by keeping under lock and also having computer screen inaccessible so all Privacy Act material will be secured. Utilize appropriate guidelines and channels of communication when releasing confidential information.

6. Maintain National TeleOncology Clinic profile management: Shall complete grid access requests in a timely manner for both opening and closing availability. Complete facility mandatory training to ensure compliance with Clinic profile management roles and responsibilities. Complete approved provider grid changes with both HUB and Spoke sites in an accurate and timely manner. The Contractor’s staff shall have no more than four (4) valid substantiated clinic profile errors per quarter.

7. Remote Telehealth Support: The Contractor’s staff shall provide self-directed support to the clinical staff, patients and families in the clinical area and as needed throughout the continuum of care. Manage requests for information, determine appropriate action, and meet performance expectations. Respond to all inquiries and messages in a timely manner. When assigned, complete scheduling of patient appointments. Take appropriate action to update schedule with regard to cancellations, no-shows, and re-scheduling of patients. Review telehealth workload for timely and accurate capture and inform appropriate staff of actions required. Upon request, will provide administrative and technical support for the department/section.

Requirements:


1. Technical Proficiency: Shall be technically proficient in the skills necessary to fulfill the government’s requirements, including the ability to speak, understand, read and write English fluently. Shall provide documents upon request to verify current and ongoing competency, skills and/or services performed. Shall have knowledge of professional care theories, principles, practices, and procedures to perform assignments of Hematology/Oncology patient/critically ill patient population. Shall provide verifiable evidence of all educational and training experiences including any gaps in educational history.

4. Certification: Shall hold Basic Life Support for Healthcare Providers certification (BLS).

5. Experience: Two years of medical appointment scheduling.
