The Administrative Assistant is responsible for providing comprehensive administrative support to ensure efficient operation of the office. This role involves managing communication, assisting with HR processes, handling documentation, and supporting various administrative tasks to facilitate smooth office operations.
MAJOR RESPONSIBILITIES/ACTIVITIES:
- Provide phone coverage, including answering calls, transferring calls, and taking messages.
- Greet and assist visitors, ensuring a welcoming environment.
- Assist potential new hires with the online application process and forward applications to the appropriate project managers.
- Support HR with the hiring process by gathering required documentation and assisting with onboarding of new hires.
- Manage mail, including sending outgoing mail and checking the mailbox.
- Receive and manage deliveries and packages.
- Maintain office and copier supplies, placing orders as needed.
- Assist coworkers with tasks such as sending invoices to Corcentric, opening new work orders, scanning files, and filing paperwork.
- Process purchase orders through IFS.
- Prepare end-of-month billing.
- Maintain records of all employees, ensuring accuracy and compliance.
- Must possess excellent written and verbal communication skills and be able to thrive in a team environment
MINIMUM REQUIREMENTS:
- High School Diploma minimum.
- General mathematical knowledge is required.
- Basic knowledge of Microsoft Excel and Word or similar programs.
- Must have strong organizational skills.
ESSENTIAL PHYSICAL FUNCTIONS:
- Frequent lifting up to 30 lbs.
