Overview of Responsibilities:

As part of the scheduling team, you will be responsible for ensuring smooth and efficient operations in our clinics. Your role involves a combination of scheduling, communication, and administrative tasks to support both the nursing staff and clinic operations.

Below are the key responsibilities:

  • Overall Scheduling for Nurses and Clinic Hours: You will manage the scheduling for all nurses, ensuring clinic hours are adequately covered.

  • Changes/Additions of Schedules: Any changes or additions to the schedules will be coordinated by you, keeping everyone informed.

  • Daily End-of-Day Reports: You will collect information throughout the day and send a detailed end-of-day report on schedule changes to management.

  • Opening and Closing in Passageware and Self Scheduler: You are responsible for opening and closing days in these scheduling systems.

  • Initial Schedule Input: Entering the initial nurse schedules into Passageware so that customer service can schedule appointments.

  • Communication with Customer Service: You will maintain direct communication with the customer service department to inform them of any schedule changes.

  • Time Off Requests: Approved time off requests from RN Managers will be entered into Passageware by you, and you will arrange coverage as needed or requested by Management.

  • Resolution of Schedule Conflicts: You will handle all schedule conflicts, noting actions taken in Passageware, and attempt to resolve them by coordinating with clients and nurses.

  • Escalation of Unresolved Conflicts: If a conflict cannot be resolved within 3 hours, you will report it to the Supervisor of Operations.

  • Open Communication: Maintaining open and accurate communication is essential and expected in this role. It is critical that the communication is always open.

  • Other Administrative Duties: This includes assisting with opening new clinics and handling scheduling needs for other departments that affect the clinic.

  • Reporting: You will report directly to the Operations Supervisor.



Minimum Requirements:

  • High school diploma/GED
  • Prior scheduling experience in a healthcare setting
  • Excellent verbal and written communication skill
  • Experience working in fast-paced, goal oriented and team based environment
  • Proficiency with Windows based applications (ability to navigate within multiple screens)
  • Excellent track record of attendance and adherence to schedule
