Overall Position Summary and Objectives

The purpose of this position is to support overall scientific analysis and operational support for the program area.


Deliverables:

  • Work products and documents related to review of annual grant progress reports and new grants for conformity to NIH and NHLBI policies. - Daily

  • Work products and documents related to assessing adequacy of data management and resource sharing. - Daily

  • Work products and documents related to resolving human subjects and animal welfare concerns; respond to inquiries about grant-related activities. - Weekly
  • Work products and documents related to preparing spreadsheets summarizing research efforts; request, prepare and distribute materials for Council meetings. - Quarterly
  • Work products and documents related to the preparation of manuscripts; manage references using Endnote; upload manuscripts and related materials to journal websites; collect conflict of interest information. - Monthly

Work Details:

  • Assist in developing and maintaining suitable methods and standard operating procedures for monitoring Division and Institute programs. 1

  • Serve as a liaison for population tracking and inclusion monitoring for timely reporting by investigators according to established timelines. 2

  • Coordinate and produce internal and external reports in programmatic and scientific areas for funding portfolios. 3

  • Researches and evaluates the operation of the organization's scientific programs.
  • Identify and address policy-related problems within agreed-upon deadlines.
  • Stay informed about the branch/office's scientific areas, demonstrating the ability to apply knowledge to perform assigned duties such as (e.g., grant assignments, pre-Council materials, portfolio analysis, generating status reports for branch leadership, etc.)
  • Maintain working knowledge of available analytical tools to conduct portfolio analyses of research grants
  • Exhibit knowledge in NIH and IC policy, procedures, and internal systems (TRAC, IDS, Clinical Dashboard, One View, etc.) by demonstrating the ability to assist colleagues, provide advice and resources to others.
  • Support program officials in pre- and post-award activities such as the review, completion and monitoring of competing and non- competing checklists/applications/progress reports with conformity to NIH and NHLBI policies. Researches, interprets and summarizes background materials from a variety of scientific sources.
  • Conduct search for material for a specific programmatic need, using a database to search for material in many cases.
  • Organize and analyze reports in a scientific area as assigned.
  • Compiles data and creates and prepares graphs, slides and presentations.
  • Prepare presentation materials such as handouts, meeting materials, slide presentations, and background/supplemental documents, spreadsheets, charts and graphs for conferences, committee, meetings, workshops and group updates.
  • Performs logistical planning of various scientific meetings, lectures, workshops.
  • Attend meetings, training and conferences in support of program initiatives.
  • Represent the Program at local and national meetings; deliver presentations and posters; disseminate details of the Program and collect information of value to the Program goals.
  • Draft, review and proofread programmatic documents, such as conference agendas, meeting agendas, letters to presenters, participant lists, handouts, emails, thank you letters and reports.
  • Plans, organizes and participates at a senior level in technical meetings and consultations.
  • Act as a referral liaison for the Division and/or Branch; assist with grant assignments.
  • Serve as a working group/committee representative as needed.
  • Attend Branch, Division, and Institute programmatic meetings as needed and capture minutes.
  • Reviews and evaluates the performance of the organization.
  • Review for compliance with publication policies (e.g., NIH open access policy), data management sharing, resource sharing, vertebrate animals, and human subjects (e.g., adequacy of data and safety monitoring plans for clinical research, appropriate target enrollment of human subjects and inclusion of minorities in clinical research).
  • Analyzes existing scientific programs and makes recommendations for improvement.
  • Identify foreign component in grants and submit records to the NIH foreign tracking system.
  • Work with Division, Program, and Branch staff to ensure that items listed on each Council calendar checklist are completed on time and satisfactorily.
  • Prepare Council Special Action Lists and work with Branch staff to generate Special Action Summaries prior to Council.
  • Develops and prepares various scientific reports.
  • Prepare error-free, high-quality reports summarizing research efforts by grant mechanism and/or scientific topic.
  • Request, prepare, and distribute materials in preparation of the Council meetings.
  • Assist Branch staff in clinical studies registration, data completeness, and document management.
  • Respond to email communications/data calls from staff with response coordination from Branch and assist/provide training on grant.
