The Events & Activations Manager will be responsible for managing our community engagement events, while also managing coordination activities between members of the community and cross-functional internal teams to ensure the timely, effective, and successful execution of our events. The ideal candidate will have a minimum of 5 years of successful event management execution, event personnel management, and process coordination. The Events & Activations Manager reports directly to the Community Engagement Manager within the Community Engagement Team.  

Responsibilities

  • Design, oversee, and execute outreach events such as tabling, activations, conferences, business walks, survey collection, and focus groups (both virtual and in-person) with operational and logistical excellence, applying industry knowledge and people management skills 
  • Oversee all logistics, including location sourcing, ordering supplies, event promotion, event cost management, vendor management, and event staff scheduling, ensuring seamless execution, professionalism, and organized processes for stakeholders and employees 
  • Manage multiple budgets simultaneously, ensuring accurate and timely processing, tracking, and reporting of expenditures across all project lifecycles by utilizing ASG’s project management tools 
  • Develop unique event concepts and themes that appeal to broad or specific audiences 
  • Develop and manage campaign materials, including design, ordering, distributing, tracking of informational collateral, “swag,” and uniforms 
  • Coordinate field outreach efforts by creating workplans, campaign universes, survey questions, talking points, engagement pipelines, reporting mechanisms, and training for multiple field teams working on separate projects 
  • Manage Brand Ambassadors, including staffing, training, budget tracking, and relationship management 
  • Ensure Brand Ambassadors meet key performance indicators (KPIs) and maintain high standards by tracking and reporting  
  • Regularly travel to storage units and events, performing on-the-ground outreach to interact with stakeholders and community-based organizations 
  • Establish, implement, and monitor service standards, such as through the creation of feedback surveys, and quality measures to meet agency, community, and client needs 
  • Identify and proactively address any concerns or barriers to a successful community engagement campaign with a solutions oriented approach 
  • Participate in the creation and maintenance of appropriate partnerships and relationships 
  • Partner cross-functionally with other ASG team members to leverage events and online experiences to amplify program and campaign impact 
  • Perform additional duties as assigned, demonstrating flexibility and adaptability to contribute effectively to the overall success of the organization    

Minimum Qualifications

  • Bachelor’s degree and direct work experience focusing on people and event planning, execution and management 
  • Minimum of 4 years of successful project management experience for Events 
  • Minimum of 3 years of work experience in Public Administration, Community Engagement, Social Services, or related human services discipline 
  • Minimum of 3 years utilizing electronic project management and budgeting software and tools 
  • Minimum of 2 years of direct onsite personnel management, involving scheduling, training, day to day operations, and coaching of teams 
  • Must have an active driver's license, ability to access a vehicle, and be able to attend events in person onsite during the day, evenings, or weekends 
  • Access to reliable and consistent internet 
  • Must have ability and flexibility to work evenings and weekends, especially during campaign peaks 
  • Bilingual preferred but not required, fluent in English and Spanish, Portuguese, or Haitian Creole 

Minimum Skills 

  • Strong event planning, timeline management, and communication skills 
  • Experienced in overseeing diverse events and executing outreach programs 
  • Proficient in budget management, especially for brand ambassador programs 
  • Skilled in team collaboration, training material development, and KPI tracking 
  • Coordinated event logistics, promotion, and cost management 
  • Effective team leader and crisis manager, ability to pivot in real time 
  • Culturally aware and inclusive event planner 
  • Feedback-driven for continuous improvement 
  • Highly organized, detail-oriented, and excellent problem solver 
  • Multitasking and time management expertise 
  • Client-focused with community development understanding 
  • Familiar with diverse client groups and community needs
