Job DescriptionJob Description

Office assistant for a small office within an established HOA community. The ideal candidate will be familiar with fielding calls and working within our simple software system to handle various tasks that support the office manager, accounting office and board members. Tasks cover the range of message taking and routing of calls, opening and sorting of mail, typing up letters and documents for board activities. Screening and prioritizing emails, answering emails, and dealing with resident’s needs both via email and in person, including but not limited to: parking passes, keys, work orders and scheduling of the club room, complaints, work orders and sending reset of passwords for resident portals and other information from the HOA system.

Skills - Should include but not limited to:

Basic typing proficiency, good phone etiquette, filing and collating of mailings and board packets, mailings and communications to residents and vendors. Ordering and tracking of supplies. Data entry into our system and other simple’ non-accounting’ tasks for the accountant. Keeping pre-printed materials in stock, such as work order request forms, booking forms, various applications.

Bi-lingual Spanish/English speaker is highly valued.

Classification: Part-time position, Wednesday & Thursday 8:30am-4:00pm, Friday 8:30am-3:00pm (Friday hours will be extended to 6pm after 90 days)
