Position Summary

The Executive Assistant will work directly with the Firm CEO, CIO, and COO. This person is expected to support our clients and the team excellently. Ultimately, success in this position is measured by consistently delivering an exceptional level of client and advisor satisfaction.

Essential Job Functions

  • Report directly to the CEO, as well as having direst responsibilities to the CIO and COO.
  • Act as a liaison between the executive team, clients, prospects and other business relationships, corresponding by both phone and email.
  • Strategically manage and coordinate calendars, ensuring smooth scheduling and appointments.
  • Assist the Marketing Team with marketing tasks and event coordination, as needed.
  • Perform executive assistant duties as needed, such as ordering lunch, handling bill payments, and managing personal items for the CEO.
  • Consistently look for ways to improve internal processes and procedures.
  • Demonstrated ability to handle confidential matters in a tactful manner.
  • Stay educated and well-versed in our service and technology offerings to our clients, including our CRM system.
  • Initiate and implement innovative strategies to improve reliability, ease of doing business, and personal attention.
  • Support the COO in managing the office and ensuring a warm welcoming office environment for guests and the team.
  • Cultivate a cohesive, collaborative team environment.

Knowledge, Skills and Abilities

  • A minimum of four years of experience as an executive assistant to C-Suite executives.
  • An extraordinary client service orientation
  • Well-developed business acumen and initiative to succeed
  • Ability to multi-task and handle numerous activities simultaneously and on a deadline
  • Excellent verbal, telephone, and written communication skills
  • Highly professional interpersonal skills
  • Software/Systems Skills Required: Microsoft applications (Word, PowerPoint, Excel, Notes, & Teams), online meeting platforms and Salesforce
  • Technology savvy
  • Thoughtful and innovative problem-solver
  • Excellent organizational and time management skills
  • A genuine interest in serving and caring for other people

 

Education and Experience

  • Bachelor’s degree or equivalent education and experience
  • A minimum of four years working as an executive assistant to C-Suite executives
  • Excellent writing, listening and feedback skills
  • Highly discreet in handling confidential information and personal matters

Job Type: Full-time

Pay: Commensurate with experience and education
