Position Description:  VOLUNTEER PROGRAM COORDINATOR & HOUSE MANAGER

VOLUNTEER PROGRAM COORDINATOR (8hrs/ week - can be mostly remote)

General Statement of Duties and Responsibilities
The Volunteer Program Coordinator is responsible for recruiting, scheduling, training and supervising Caffe Lena’s volunteer hospitality staff. The Volunteer Program Coordinator works side by side with the volunteers on Friday & Saturdays, including Saturday matinees, to ensure consistently excellent food service in a live music environment. They will emphasize maintaining compliance with Dept of Health & State Liquor Authority standards as well as creating an atmosphere that is safe, fulfilling and positive for volunteers of all ages and skill levels. The right VPC will be detail-oriented, confident in a leadership role and eager to connect with individuals from diverse backgrounds.

 

Key Volunteer Program Coordinator Duties and Responsibilities

  • Serve as the main point of contact for volunteers.

  • Schedule volunteers for all events.

  • Volunteer recruitment and onboarding.

  • Program development and promotion.

  • Cultivate a climate of teamwork and goodwill.

  • Ensure compliance with NYS Dept of Health, Dept of Labor and Liquor Authority regulations.

  • Training and oversight on proper preparation, handling and presentation of all menu items.

  • Communicate customer concerns / service issues to House Manager.

  • Oversee end-of-show clean-up and pitch in where needed.

 

HOUSE MANAGEMENT (2 Nights / week)

General Statement of Duties and Responsibilities
With warm professionalism, the House Manager ensures that artists, patrons, staff and volunteers have a positive experience at on-site public events.

Key House Management Duties and Responsibilities

  • Supervise show staff & ensure both organizational & safety standards are met.

  • Ensure proper set up of facility.

  • Serve as venue liaison for performers.

  • Make seating assignments.

  • Greet and seat customers.

  • Introduce performers & make intermission announcements.

  • Enforce venue rules & maintain an excellent listening environment.

  • Train and supervise Ushers and Merchandise volunteers.

  • Process all cash and credit card transactions.

  • End-of-day processes including performer payment, cash sheet settlement & deposits.

 

KITCHEN MANAGEMENT (2 Nights / week)

General Statement of Duties and Responsibilities
The Kitchen Manager is responsible for managing food service operations during shows.

Key Kitchen Management Duties and Responsibilities 

  • Teach & oversee proper preparation & presentation of all menu items.

  • Cultivate a climate of teamwork & goodwill.

  • Ensure compliance with all NYS Dept of Health, Labor & Liquor Authority regulations.

  • Fill any gaps on the volunteer crew by helping where needed.

  • Oversee POS system training and utilization.

 

Additional Responsibilities

  1. Inform Executive Director and Director of Operations of any conversations with patrons or artists that should be followed up on for purposes of fundraising and community connection.

  2. Additional duties as assigned by the Executive Director and Director of Operations.

Physical/Environmental Requirements

  • Physical effort and dexterity:  This position will be required to regularly lift and carry up to 25 pounds. Some stooping and kneeling will be necessary. 
  • Visual acuity hearing and speaking: The VPC/House Manager must have excellent oral and written communication skills. 
  • Environment and scheduling: 80% of the job is spent standing; 10% is walking and 10% is spent sitting.

Candidates whose disability makes them unable to perform a non-essential job function will still be considered fully qualified for the position if they can perform the essential functions with reasonable accommodations.

 

Hours and Compensation
This is a part-time hourly position expected to consume approximately 26-30 hours per week on average. Pay starts at $21 per hour and up to 40 hours of NYS Paid Sick Leave are included. The schedule is afternoons and evenings, including weekends. Volunteer scheduling, which consists largely of email communication, is done prior to kitchen set up or after shows. You may need to convey messages from volunteers to the House Manager on your days off.
