Traffic/Operations Manager

Reports to: Business Manager

Position Summary: The Traffic/Operations Manager works closely with the Business Manager and General Manager to ensure the daily radio traffic and office operations are executed efficiently and effectively. This includes managing traffic, billing, office administration, and assisting with FCC compliance.

Key Responsibilities:

Traffic and Billing:

  • Schedule commercial ads and manage all station broadcast logs on a day-to-day basis.
  • Produce and reconcile weekly broadcast logs and optimize spot/inventory management.
  • Manage and provide notifications for preemptions, discrepancies, and makegoods.
  • Collaborate with the Production Manager to ensure timely production of all spots.
  • Serve as the primary Traffic Liaison between the Sales Department, Production Department, and other departments as needed.
  • Communicate inventory challenges to the Director of Sales (DOS).
  • Check all sales orders for accuracy and communicate any errors or issues.
  • Provide sales projections, pacing, invoicing, affidavits, and additional reports as required by corporate and station management.
  • Assist in training sales staff to properly input orders into the VT System.
  • Act as the point of contact between WURD Sales and Clients to collect overdue payments and handle collections beyond thirty days.
  • Complete month-end billing reconciliation reports and send out invoices (current and past due).
  • Complete month-end closing and additional reports necessary for corporate financial reporting, including sales commission reports.
  • Collaborate with management to develop strategic reporting systems to minimize collections.

Operations:

  • Sort and distribute incoming mail.
  • Manage office petty cash.
  • Post incoming cash receipts and take deposits to the bank.
  • Work with the Chief Operator to ensure FCC compliance regulations are met.
  • Attend regularly scheduled meetings.

Qualifications:

  • At least 1-2 years of experience in traffic management, billing, and office administration.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Strong project management abilities.
  • Knowledge of FCC compliance regulations.
  • Experience with software platforms such as Marketron Visual Traffic, Google G-suite, and MS Office (Excel).
  • Ability to work collaboratively in a team environment.
  • Prior media experience is highly favored.

Physical Demands:

  • Role requires performing tasks that require sitting or standing for prolonged periods of time.
  • Must be able to manipulate standard office equipment, keyboard, and occasionally operate a motor vehicle.
  • May be required to lift and move objects weighing up to 50 pounds with or without assistance.
  • Occasional exposure to outdoor weather conditions.
