Position Title: Radio Traffic Operations Manager
Reports to: Business Manager
Position Summary: The Radio Traffic Operations Manager collaborates closely with the Business Manager and General Manager to ensure that daily radio traffic and administrative operations are carried out smoothly and effectively. This role encompasses managing traffic, billing processes, office administration, and ensuring compliance with FCC regulations.
Key Responsibilities:
Traffic and Billing Management:
- Oversee the scheduling of commercial advertisements and manage daily broadcast logs.
- Generate and reconcile weekly broadcast logs while optimizing inventory management.
- Handle notifications regarding preemptions, discrepancies, and makegoods.
- Work alongside the Production Manager to guarantee timely production of all advertising spots.
- Act as the primary liaison for traffic between the Sales and Production Departments, as well as other relevant departments.
- Communicate inventory challenges to the Director of Sales.
- Verify the accuracy of all sales orders and address any discrepancies.
- Provide necessary reports including sales projections, invoicing, affidavits, and additional documentation as required by management.
- Assist in training sales personnel on proper order entry into the VT System.
- Serve as the main contact for collecting overdue payments and managing collections beyond thirty days.
- Complete month-end billing reconciliation and dispatch invoices.
- Prepare month-end closing reports essential for corporate financial reporting, including sales commission summaries.
- Collaborate with management to create strategic reporting systems aimed at minimizing collections.
Operational Duties:
- Sort and distribute incoming correspondence.
- Manage office petty cash funds.
- Record incoming cash receipts and make bank deposits.
- Coordinate with the Chief Operator to ensure adherence to FCC compliance regulations.
- Participate in regularly scheduled meetings.
Qualifications:
- Minimum of 1-2 years of experience in traffic management, billing, and office administration.
- Strong organizational skills with a keen attention to detail.
- Excellent communication and interpersonal abilities.
- Proficient project management skills.
- Familiarity with FCC compliance regulations.
- Experience with software platforms such as Marketron Visual Traffic, Google G-suite, and MS Office (Excel).
- Able to work effectively in a collaborative team environment.
- Prior experience in the media industry is highly preferred.
Physical Requirements:
- Position requires tasks that involve prolonged periods of sitting or standing.
- Must be capable of using standard office equipment and occasionally operating a motor vehicle.
- May need to lift and move objects weighing up to 50 pounds with or without assistance.
- Occasional exposure to outdoor weather conditions.
