Job Overview

Position Title: Radio Traffic Operations Manager

Reports to: Business Manager

Position Summary: The Radio Traffic Operations Manager collaborates closely with the Business Manager and General Manager to ensure that daily radio traffic and administrative operations are carried out smoothly and effectively. This role encompasses overseeing traffic management, billing processes, office administration, and supporting compliance with FCC regulations.

Key Responsibilities:

Traffic Management and Billing:

  • Coordinate the scheduling of commercial advertisements and manage all station broadcast logs on a daily basis.
  • Generate and reconcile weekly broadcast logs while optimizing inventory management.
  • Handle notifications regarding preemptions, discrepancies, and makegoods.
  • Work in conjunction with the Production Manager to ensure the timely creation of all advertisements.
  • Act as the primary liaison for traffic between the Sales Department, Production Department, and other relevant departments.
  • Communicate inventory challenges to the Director of Sales.
  • Verify the accuracy of all sales orders and address any discrepancies.
  • Provide sales forecasts, pacing, invoicing, affidavits, and other reports as required by corporate and station management.
  • Assist in training sales personnel on proper order entry into the VT System.
  • Serve as the main contact for WURD Sales and Clients to collect overdue payments and manage collections beyond thirty days.
  • Complete month-end billing reconciliation reports and issue invoices (both current and past due).
  • Finalize month-end closing and prepare additional reports necessary for corporate financial reporting, including sales commission reports.
  • Collaborate with management to create strategic reporting systems aimed at minimizing collections.

Office Operations:

  • Sort and distribute incoming correspondence.
  • Manage the office petty cash fund.
  • Record incoming cash receipts and make bank deposits.
  • Collaborate with the Chief Operator to ensure adherence to FCC compliance regulations.
  • Participate in regularly scheduled meetings.

Qualifications:

  • Minimum of 1-2 years of experience in traffic management, billing, and office administration.
  • Strong organizational capabilities and meticulous attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient project management skills.
  • Familiarity with FCC compliance regulations.
  • Experience with software platforms such as Marketron Visual Traffic, Google G-suite, and MS Office (Excel).
  • Able to work collaboratively within a team environment.
  • Prior experience in the media industry is highly desirable.

Physical Requirements:

  • This role requires performing tasks that involve sitting or standing for extended periods.
  • Must be capable of using standard office equipment, keyboards, and occasionally driving a vehicle.
  • May need to lift and move objects weighing up to 50 pounds with or without assistance.
  • Occasional exposure to outdoor weather conditions.
