  • Client organization is seeking a Senior HR Coordinator.
  • This individual will be responsible for supporting the Vice President, Human Resources and other executive admin support as needed.
  • The incumbent will be working in a dynamic environment with matrixed reporting lines and varied responsibilities.
  • The role can be worked remotely in the U.S. with travel for meetings as needed.

Responsibilities:

  • Executive Administrative Assistant Responsibilities: Responsibilities will focus on areas of office and clerical support including but not limited to: Provide administrative support to the Power & Controls Vice President of Human Resources, Vice President of Engineering, Value Stream Executive Director, and P&C HR leadership team
  • Administration of Human Resources Leadership Team/Leader MS Teams channels and reports
  • Drive the efficient onboarding of new team members to ensure timely delivery and set up of equipment and accounts
  • Coordination and logistics of Human Resources team events and extracurricular activities
  • Maintain executive calendars; schedule meetings and resolve conflicts
  • Coordinate leadership/executive travel arrangements including completing appropriate expense reporting in a timely fashion
  • Organize and attend executive staff meetings, take meeting minutes, and distribute action items to attendees
  • Plan and support Human Resources and VP of HR organizational events including logistics
  • Prepare PowerPoint presentations for leadership meetings
  • Maintain accurate, updated organization charts for the SBU/groups supported
  • Act as point of contact for conference room assistance
  • Assist functional groups with processes that impact leadership / executives
  • Exhibit use of Continuous Improvement Tools
  • Exhibit proficient use of productivity and collaboration tools, including MS office 365 suite (Outlook, PowerPoint, Excel, Word, Teams, OneNote etc.).
  • HR-Related Responsibilities Data Loss Prevention (DLP) - assist Legal and Cybersecurity with initial employee data inquires to initiate investigations
  • High-level government security clearance assistance - assist government-contracted special investigators with employee data inquires for those employees seeking high-level government clearance
  • Lead and/or assist in government HR-related audits
  • Actively participate on Client HR IT team to develop and improve established Improvement Targets
  • Executive garage coordination - Maintain the garage residency listing, keeping records updated and resolving parking and/or garage issues with Security and maintenance
  • Respond/run HR/employee-related confidential/non-confidential reports and scrubbing data for applicability and accuracy, along with developing charts and tables to consolidate and summarize data (e.g., updating the Dept. Tables for all of Power & Controls)
  • Participate/assist/coordinate in involuntary and voluntary separation projects, assisting in compiling and updating reports, processing Dept. of Labor documentation, and following through to developing exiting strategies
  • Actively participate in corporate-led Kaizen events for onboarding to improve and resolve issues with the Client onboarding process
  • Participate in special projects and other tasks, as needed

Requirements:

  • Experience with Microsoft Office Suite: primarily Excel, Power Point, Outlook
  • Highly organized with ability to manage to multiple deadlines and priorities simultaneously
  • Ability to manage and handle confidential information
  • Ability to communicate with all levels of the organization

Education:

  • AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience OR
  • In the absence of a HS diploma, GED or AA/AS degree, 10 years of relevant experience is required OR
  • A Bachelor's degree in the appropriate discipline and 2 years of relevant experience
